Production Coordinator - Outdoor Live Events

Secret Group Ltd is a global pioneer of immersive film experiences with a record of over 50 immersive productions and over 600,000 attendees in the last five years alone. Creating large-scale cultural experiences in abandoned spaces, we fuse film, music, theatre and installations.



In our shows, audiences are assigned a character and step into the story. They explore richly-detailed, immersive worlds where fiction and reality blur. We achieve this by creating a world of a film, where the space is populated by a professional cast of actors and dancers. Productions are hidden within non-traditional venues and vary in scale, from a few hundred up to 100,000 attendees. These can be either indoor spaces or outdoor summer festivals.



Secret Cinema is looking for multiple Production Coordinators to work across different outdoor events in 2023. The engagement lengths will vary between 4 and 8 months, with some flexibility on start and end dates.



The Production Coordinators work on a broad range of tasks under the supervision of the Producer. The ideal candidate will be hands-on and willing to tackle a wide range of tasks, drawing on their previous experience across the live events and theatre industries.



Producing

Work closely with the Producer on project-based tasks including research, drafting of production documents and materials, database maintenance.
Supervise the casting process: administering the applications, booking a suitable venue, supervising operations on the day, communicating with agents and contracting performers.
Draft contracts for all show staff required for the production within industry requirements and in line with best practices.
Arrange any travel or accommodation required for production staff.
Provide ad hoc support once the production has opened, working on a rota that includes both dark days and show nights.
Support the Community Manager with the community outreach programme and special events
Liaise with all Secret Group departments to help ensure the smooth running of the production.


Finance and Administration

Set-up production meetings and take comprehensive minutes where necessary.
Source quotes for the Producer to review.
Raise purchase orders against confirmed budget lines.


Production

Working with the Technical Production team to ensure all operational logistics are in place for food, beverage, and merchandise concessions.
Assist in the recruitment process of freelance staff.


General Duties

Adhere to all policies and plans including the Secret Group Equality Policy.
Undertake any other duties as agreed with the Producer as is appropriate to the post.


Person Specification



Essential

A bright, enthusiastic, and hard-working individual.
At least 2 years professional experience in live event production or similar, with a minimum of 1 years' experience in supporting productions and working on large scale events or shows.
Experience of supporting the delivery of shows and projects across a variety of scales, to budget.
Strong team player and a genuine interest in collaboration, including enthusiasm for the work and the ethos of Secret Group.
Excellent organisational skills with the ability to manage and prioritise tasks in a pressurised environment.
Strong administration and IT skills including Outlook, MS Word and Excel.
Excellent written and verbal communication skills.
Candidates must have the right to work in the United Kingdom.


Desirable

Knowledge of event safety guidelines.
Experience of contracting performers and knowledge of UK Equity rules.
Experience working on temporary work sites in adverse conditions.
Experience using DocuSign, Smartsheets, and Procurement Express.
Able to work in the central London office approximately 3 days per week during pre-production.
