It is our intention that all staff have opportunities to gain experience in a variety of roles, enabling them to learn about different aspects of the industry.Purpose of Role:First point of contact for the company both on the phones and in person. This is a very important role and needs someone with great communication and organisational skills, as well as a personable manner. Working within a small team where everyone is often required to 'pitch in', looking after our company and other companies within our building. Running the diary management of our Managing Director is also an integral part to this role.Requirements:We are looking for a bright, enthusiastic individual for our busy office. Candidates should be good with people, both colleagues and clients, and have competent IT and admin skills.They should have a personable manner, both face to face and on the phone, with excellent organisational skills and the ability to manage multiple tasks.A good competency of email, Internet and computer packages such as Microsoft Office and Final Draft (not essential).Key roles:• First point of contact for the company both on the phones and in person: greet, offer drinks and inform staff as appropriate• Ensuring MD is fully prepared for all meetings with specific documentation.• Arranging travel for MD including cars, flights, hotel bookings, currency, car parking etc and creating travel itineraries.• Sorting and distributing post• Research tasks and other ad-hoc admin tasks• Ordering couriers; booking transport• Dropping off/collecting packages (locally, on foot), buying food and drink for the office• Keeping the general office areas looking neat and tidy• Assisting with the daily maintenance of the building and meeting rooms: preparing tea/coffee first thing and throughout the day when required, watering plants etc.• Making sure the boardroom/meeting rooms are cleared between meetings and kept in good order• Dealing with general enquiries and correspondence• Filing press and publicity• Distributing scripts, proof-reading scripts, treatments & other project documents• Managing petty cash tins (counting cash, petty cash vouchers, reimbursing tins)• Assisting the Finance Director in processing the monthly credit card transactions• Writing script reports and coverage of booksSkills/Abilities:• Excellent and consistent interpersonal and communication skills, both written and verbal • Ability to work collaboratively, and also discreetly when handling sensitive information or situations • Excellent time-management and a knowledge of best office practice • Excellent workload prioritisation, attention to detail and the ability to meet deadlines • Able to think ahead in order to establish an efficient and appropriate course of action for self and others • Adapts and works effectively with a variety of situations.
