Personal Assistant

The Personal Assistant to the Chief Operating Officer and the Senior Project Director, Nations is a significant role, critical to enabling the success of BBC Nations and making sure our business flows.



Key Responsibilities and Accountabilities
Excellent communicator with knowledge of the business and key stakeholders.
First point of contact, handling complex and confidential information and requests in a timely way, including managing email inboxes for senior leaders.
Able to accurately minute meetings and synthesise complex information into tangible actions.
Organising, booking and attending meetings, travel and events.
Financial numeracy to accurately process invoices, raise orders and expenses.
Keeping a forward agenda to ensure that all key objectives of the senior leadership team are being discussed and reviewed.
Efficient, consistent and responsive communication style
Diary management with a structured and methodical approach to managing time, ensuring preparation for meetings and that all papers and pre-reads are coordinated in advance and able to manage competing priorities for both the people you support.
Maintain efficient and effective filing system, ensuring all documentation catalogued and organised using internal systems.
Prepare documents, presentations and other materials to a clear brief, using established formats and standard software.
Prepare straightforward analysis, manipulation and interpretation of data.
Responsible for coordinating team IT requests, user administration, systems access and record keeping.


Knowledge, Skills, Training & Experience
Experience of Personal Assistant, Diary Management or similar role to senior level managers.
Excellent written and interpersonal communication skills, including the ability to liaise effectively with people at various levels.
Evidence of ability to develop strong working relationships with stakeholders at all levels of the organisation and externally including working within a team of PA's.
Ability to use own initiative; be proactive and manage own time and workload.
Experience of organising multiple diaries, working to multiple people balancing individual priorities.
High attention to detail and significant practical experience of gathering, analysing, collating complex and confidential and sensitive information.
