This role is to provide comprehensive PA and administrative support to the Head of Drama, Head of Comedy and commissioning team.This role requires a highly organised, dependable, proactive, and resourceful PA with exceptional communication skills. The ideal candidate should excel at diary management, building strong relationships and communicating effectively both internally and externally.Main responsibilitiesManage and maintain schedules, optimising use of time and balancing constantly changing diary commitmentsManage and screen internal and external telephone calls; take messages; communicate incoming and outgoing information in a professional and diplomatic mannerTake appropriate action on day to day issues and have the ability to problem solveBuild and maintain a reliable and trusting working relationship within the team, internal departments and external clientsDeal appropriately with a range of internal and external correspondence/enquiries by mail, e-mail and telephoneArrange meeting rooms, conference calls, Google hang-out facilitation refreshments and presentation materialsArrange and book national and international travelKeep and maintain a proficient, tidy and organised filing systemPhotocopy, scan and fax documents as necessaryArrange purchase orders, track invoices and paymentsUndertake a range of department specific tasksProcess and submit expensesMaintain the departmental holiday chartMaintain absolute confidentiality of all issues discussedOther tasks and responsibilities as requiredUndertake a range of department specific administrative & supportive tasksAdditional ad-hoc tasks and responsibilities as requiredSkills you'll need (minimum criteria)PA experience at a Senior level with experience of managing multiple peopleEfficient typing skills with an excellent knowledge of Microsoft Word, Power Point, Excel & GoogleMail (or alternative)Experience managing complex/multiple diariesOther things we're looking for (key criteria)Demonstrably strong communication skills, with the confidence and tact to liaisewith a wide cross-section of senior level and external contacts, building good interpersonal relationships with the main client groupsAbility to successfully manage multiple expectations in a fast paced environment.Ability to maintain a clear perspective of the departmental priorities, to focus on relevant tasks and timeframes.The ability to adapt and be flexible in accommodating short-term changing needsThe ability to work independently using own initiative as well as forming part of a close-knit, established teamEffective and proven organisational skillsAssertive and confident with the ability to remain calm under pressureA track record of consistent performance and an excellent eye for detailDrive and passion to succeed in all tasksAuthentic passion and interest for TV, Media and ITV Drama specificallyProven experience of working in a fast paced environment
