This role is based at our headquarters in London, Mayfair, and will be responsible for providing first class, pro-active PA support to the Executive Producer.

YOUR AREA OF RESPONSIBILITIES:
- All-round high-level PA support to the Executive Producer: including complete responsibility for diary management and organisation of meetings (on and off-site).
- Preparing documentation as required, to include drafting briefings, agendas, correspondence, collation of reports and presentations. This includes handling highly confidential and sensitive information which requires absolute confidentiality and discretion at all times.
- Booking travel for the Executive Producer and from time to time the wider team of VIPs.
- Using initiative and judgement to help maximise time management for the Executive Producer and to ensure they only deal with matters that genuinely require their attention, as well as monitoring deadlines and ensuring they are aware of, and have the opportunity, to meet those deadlines. This will include a proactive screening of the EP's email inbox, checking correspondence for any upcoming meetings or conference calls not shared with yourself.
- Attending internal team meetings, maintaining lists of responsibilities with wider team and ensuring follow up actions are implemented as appropriate.
- Budget management - Taking responsibility for managing the EP's expense claims and team account.
- General office management activities: Proactively managing facilities, ordering office supplies, furniture, drinks, etc.
- Artist Liaison: Ensuring visitors are welcomed in a professional manner and with discretion.

YOUR PROFILE:
- Is educated to degree level (preferable).
- Has a genuine interest in culture or the arts. This role would suit a person who is looking to gain experience working in the arts.
- Possess professional and confident communication skills, both oral and written (including general and grammatical accuracy).
- Has experience of working independently using own initiative, as well as collaborating as part of a team.
- Has the ability to demonstrate a high level of discretion, diplomacy and judgement to handle confidential and sensitive material.
- Is IT literate with practical experience of Microsoft Word, Excel and Slack. Capabilities in Adobe Suite would be advantageous.
- Has experience of dealing with large volumes of work under pressure to meet tight deadlines whilst dealing with competing priorities.
- Has proven experience of problem-solving to overcome challenges and make informed decisions, at the right level, based on information available.
- English and French bi-lingual (advantageous but not necessary)
