About the ProductionBase Service

1. How does ProductionBase work?

ProductionBase is the online network for people working in film, television, radio, theatre and commercial production.

The ProductionBase website is a multimedia environment which showcases the work, credits and talent of over 5000 freelancers working across all grades of pre-production, production and post-production. The industries we service are animation, commercials, corporate, film, mobile content, music promos, online, games, radio and TV.

ProductionBase has aided employers in finding crew and sourcing talent for over 10 years, providing an easy to use search and job posting service, that helps you to find what you are looking for quickly and effortlessly. Since upgrading the service ProductionBase members can now enjoy and benefit from the latest online recruitment, networking and media hosting technology. 2. How much does it cost to post a job or search the database?

ProductionBase is an entirely free service for employers to use. All we ask is that you abide to the terms and conditions of use and adhere to UK employment laws.

Using the ProductionBase service

1. How can I use ProductionBase to find staff?

You can use ProductionBase to find freelancers in two ways either by advertising a job or searching the database. The service is free for employers to use, all you need to do is register.

2. How do I search Freelancer profiles/media?

Once registered log-in and select SEARCH from the navigation bar. Our latest search system allows you to enter as little or as much criteria as you like. If you conduct a detailed search, results are displayed in order of most relevant. If you conduct a basic search for example, “Producer/Director + London," results will be displayed in order of most recently updated.

From the search results page you can view profiles and media and contact freelancers.

3. When I’m searching the database are my contact details displayed?

When employers search the PB freelancer database your name and personal contact details will be kept confidential. Freelancers will be able to view your employer name and your basic directory listing.

4. How do I contact a freelancer about a work opportunity?

If the freelancer has detailed a telephone contact number it will be displayed at the top of their profile page. You also have the option to email the freelancer from their profile. Company ShowFolio members represent more than one freelancer, so please contact the agency directly to enquire about any of their represented clients.

5. How do I know if the freelancer is available?

If the freelancer has updated their availability it will be displayed at the top of their profile page. Even if the freelancer states that they're available you may need to call or email them in order to check their availability on the dates required.

6. How can I print freelancer profiles?

Print Friendly versions of profiles can be printed via each freelancer or company ShowFolio profile.

7. What are your Top Tips for employers using ProductionBase to hire freelancers?

1. Searching for talent on PB

For the best search results, be as specific as possible when selecting your search criteria. Not only will this make your results more relevant, it will also save you from having to sift through hundreds of unsuitable profiles. Freelancers with a ShowFolio (video, audio and stills) account will appear highlighted in search results.

2. Receive relevant applications

The more detail and specifics given in your job ad, the more likely you are to find the right freelencer. List your prerequisites and be assertive in stating the skills that you expect applicants to have. You can also format your job ad to highlight text etc. The post job form allows you to set up to 3 criteria questions, which the freelancer will have to answer ‘yes’ or ‘no’ to before submitting their application. This is a great tool which allows you to sort your applications in order of relevance according to the questions you set.

3. Use the employment process to promote your company

It’s always important to promote a positive and professional image of your company and brand. Direct members to your company website and include any key information about what your company does. By default your basic employer profile will be included in the employer directory so take time to complete the ‘About Company’ section. Upload your logo and always respond to applicants using the quick and easy applicant notification tool.

4. Make use of the Employer Tools

Hiring staff doesn’t have to be stressful. Although applications will be forwarded to you by email, the best way to manage them is on ProductionBase by selecting JOBS from the navigation bar followed by JOBS MANAGER. From your jobs manager you can sort applications and criteria, respond to candidates, view profiles, cover letters and media.

Posting and Managing Jobs

1. How does advertising on the jobs board work?

If you are an employer and wish to post a job or search the PB database to source talent you can use the service free of charge. To do this simply register and create your employer profile. You will need to provide us with valid employer details and confirm your email address before gaining access to the site as an employer.

Once your job has been verified and made live on the jobs board you will begin to receive applications within minutes. Application alerts will be sent to the relevant email address, which will contain the members’ cover letter and link to their profile. The best way to manage your applications is on ProductionBase. Simply log-in and select JOBS from the navigation and choose MANAGE VACANCIES from the row of sub-options underneath.

2. How much does it cost to post a job/search the database?

Employers can post jobs and conduct unlimited searches at no cost. All you need is a verified employer profile. To create one register today.

3. How do I post a job?

To do this simply register and create your employer profile. You will need to provide us with valid employer details and confirm your email address before gaining access to the site as an employer.

To post a job, log-in and select JOBS from the navigation bar. In the row of sub-options select POST NEW JOB. All of your jobs and applications can be managed by selecting MANAGE JOBS.

PB trusts employers in good faith when using the service, to act within the UK Employment and Discrimination Laws. We do not allow employers to use the service to hire for work experience placements, low-paid or deferred payment opportunities. 4. Can I review my job add before posting it?

When completing the POST JOB form you will see there is a button to review your job before submitting it, you can then make any changes if necessary. If you have an employer/company logo attached to your profile this will be displayed at the top of your job add.

5. Why can’t employers view jobs on the jobs board?

Only subscribing members can view full detail of jobs on the jobs board. This is to retain the privacy and exclusivity of the jobs posted. As an employer you can create and activate a freelancer profile under the same account. To do this log-in and select PROFILES from the grey navigation bar and then select to CREATE a freelancer profile. Once this has been created you can then subscribe.

6. Why has my job posting been edited?

Before any job goes live on the jobs board the PB admin team verifies and quality checks all postings. If you have included details in the job description that gives your companies identity away, for example, your company name, contact details then these will be removed and edited if necessary. 7. How do I remove a job from the jobs board?

By default all jobs posted remain there for 30 days. You can remove a job from the jobs board at anytime. To do this simply log-in and select JOBS from the navigation bar followed by MANAGE JOBS from the row of sub-options underneath. All active and inactive jobs will appear on this page. Select EXPIRE to immediately remove the post from the jobs board.

8. My job posting has expired, can I re-open it?

PB will allow an employer to re-open any previous job that has been posted up to 90 days after it originally expired. This will allow you to continue to receive applications and manage them under the same job reference number. To do this simply log-in and select JOB from the navigation bar followed by MANAGE JOBS from the row of sub-options underneath. Select EXTEND to reopen the position. Please note, when a job is reopened relevant freelancers will not be notified again. If you wish to update the post and have it re-sent to freelancers please post it as a new job.

9. I’d like to recruit for the same job I’ve previously posted, can I re-post this?

PB allows you to copy and re-post any vacancy that has expired. When you repost a job all of the original detail will be copied over and a new reference number will be assigned to the job posting. Applicants that originally applied will be able to apply again and you can edit any of the information or criteria questions as required.

10. If I post a job how do members apply?

When posting a job on PB you can select for members to apply either by email, via a website, by post or telephone. Most employers prefer to use the email application method. This allows you to receive application notifications by email whilst concealing your personal contact details.

11. Why hasn’t my job been posted on the jobs board?

Before we post any job live on the jobs board the PB admin team applies quality checks before approving it and sending it out to our members. All jobs are posted within 1 hour. Click here to read our Job Posting Guidelines.

12. How can I view applications and cover letters?

As well as being emailed to you, all applications and cover letters can be viewed and managed on PB. To do this log-in and select JOBS from the navigation bar and choose MANAGE JOBS from the row of sub-options. On this page all of the jobs you have previously posted will be displayed.

To manage applications click into the title of the relevant job posting. Here you will see a full breakdown of all applicants. Select their name to view their profile and select the paper icon to view their cover letter. To learn more about the JOB MANAGER tools click here to view our online demo. PB recommends that you respond to all applicants using the quick email tool.

13. How can I contact applicants?

The easiest way to respond to applicants is using the employer email tool. To access this log-in and select JOBS from the navigation bar and choose MANAGE JOBS from the row of sub-options. On this page all of the jobs you have previously posted will be displayed. Click into the title of the relevant job posting and the list of applicants will be displayed. Simply select the applicants who you wish to email and then enter your email template into the box provided and send.

Please note, your email address will not be disclosed to recipients, they will only see your employer name and basic directory listing. Any reply will be directed to both your PB inbox and registered log-in email.

Emails

1. What emails can I expect to receive from ProductionBase?

As a member of ProductionBase we will send you regular emails to your primary log-in email address as well as your private PB inbox.

All of your payments are processed by Worldpay our online banking service, so they will also send you emails concerning payments and changes to your account status.

You can change your EMAIL SETTINGS at anytime on the update profile page.

To add ProductionBase to your ‘safe senders’ list, and ensure that our emails arrive safely in your inbox. Click here and follow the appropriate instructions below for the email program you are using. By default regular emails you should expect to receive from us are:

2. Why am I not receiving PB job applications/emails?

If you are not receiving emails from us please firstly check your email settings. To do this log-in and select PROFILES from the navigation bar and select the profile you wish to EDIT. Your email settings appear at the top of the update profile page. Make your selection and click to SAVE CHANGES. If it is already set to receive emails from us then you should be receiving emails to your personal PB inbox as well as your primary log-in email address. If you are not receiving emails to your external email address then please follow the steps to whitelist us.

3. How can I opt out of receiving emails from ProductionBase?

You can change your email settings at anytime. To opt out of receiving emails from us, log-in and select PROFILES from the navigation bar and select the profile you wish to EDIT. Your email settings appear at the top of the page, make your selection and click to SAVE CHANGES.

ProductionBase Code of Conduct

1. Job Posting Guidelines

  • Only one job per form should be posted at a time. All jobs posted must adhere to the UK National Minimum Wage for 22 year olds +.
  • ProductionBase will not accept any non/low-paid or deferred payment job postings.
  • Please detail as much information as possible in regards to salary, duration, location and the job specification, to allow our members to make an informed decision about whether or not they wish spend time applying.
  • To avoid receiving unsolicited applications and enquiries please do not include any information in the job detail that will disclose the identity of your company.
  • ProductionBase is not liable for the content of your job advertisement. Please abide to UK Discrimination laws when writing your job posting.
  • ProductionBase encourages all employers using the service to post jobs to reply to both successful and unsuccessful applicants.

2. Watercooler code of conduct

Messages written in the Watercooler do not represent the views of ProductionBase. On occasion messages may be vetted by ProductionBase staff. If you read something which you believe to be offensive or defamatory, please click the SPIKE button or contact ProductionBase Online Services. This will immediately remove the thread and the administrator will be notified. Anyone acting in breech of the Acceptable Use Policy may have their access to the ProductionBase system withdrawn.

The watercooler is a medium for networking, shooting the breeze, asking advice, passing opinion, and comparison of notes. Any advertising of personal or professional services will be deleted. The PB administrator reserves the right to intervene in any discussion that becomes out of hand, is offensive, aggressive or defamatory.

3. Self-Policing

ProductionBase operates a successful self-policing system. Think before you breech the terms and conditions of use, as it’s unlikely that you’ll get away with it!

4. Report Abuse/Misuse

Please refer to the ProductionBase Acceptable Use Policy. ProductionBase does not tolerate any abuse or misuse of the service, database and website functionality. Cyber bullying or harassment are unacceptable. If you are found to be marketing your services on ProductionBase without our permission you may be permanently prevented from accessing the site.
