Team Assistant

BBC Studios Drama Productions is the UK's biggest drama production hub outside London. It sits at the heart of the UK as our slate of award-winning dramas continue to bring audiences together week after week. EastEnders, Casualty, Father Brown, Sister Boniface, Doctors, River City and Pobol y Cwm remain a constant source of gripping entertainment, addictive storylines and loveable characters year on year. In addition to our ongoing productions, we are embarking on an ambitious growth strategy. We have a slate of fresh and exciting new shows, some in commissioned development with Broadcasters.



As part of your role, you'll get the opportunity to work across both Development and Production, reporting to the Development and Production Coordinator and working closely with senior leaders and creatives in Drama to help assist a busy and ambitious department. This is an opportunity to join our amazing drama team during an exciting time of change and growth.

Main Responsibilities


The Team Assistant is instrumental in providing comprehensive administrative assistance across development and production and is the key point of contact for all queries, ensuring that they understand and adhere to agreed procedures, schedules and targets.



The role will run the diaries of senior leaders in drama, and assist with the departments needs including expenses, travel bookings and administrative support.



The post holder will seek to improve ways of working, advise on and implement new office systems in order to deliver mutual benefits to the department.



The postholder will be responsible for the following duties:

• Act as department focal point for internal and external queries and to take necessary action as appropriate

• Organise key meetings including coordination and distribution of supporting documents and follow-up on outstanding actions

• Diary & Email Management - to maintain, check and reply to emails and update diaries as required

• Responsible for preparing agendas and taking minutes at appropriate meetings

• Co-ordinate tickets and arrangements for team events, including booking various travel and accommodation as necessary

• To prioritise and manage all incoming correspondence, to type and draft letters and other paperwork as required

• Maintain the smooth and efficient running of the department, assessing priorities and taking appropriate action

We're looking for team player; an applicant who is creative, full of ideas, hardworking and highly organised. The ideal candidate will have a flexible, proactive approach and will thrive in a busy work environment.



You will have:

• Experience of being a Team Assistant or Personal Assistant in a high demanding role

• Excellent administrative and organisational skills with attention to detail

• Thorough knowledge of office systems and procedures and excellent computer skills, particularly, Outlook, Word, Excel and PowerPoint

• Experience of Diary and Email management, and Office administration systems

• Understanding of the need to handle confidential information with tact and sensitivity

• Ability to act on own initiative and to demonstrate tenacity and resourcefulness. The post holder will often work unsupervised, resolving problems and making sound decisions, knowing when to refer upwards when necessary

• Excellent time management skills and the ability to prioritise a heavy workload without supervision

• Ability to keep calm under pressure and deal sensitively and confidently with a range of contacts, both internal and external to the BBC

• An understanding of the BBC Editorial Compliance

• Experience of taking accurate minutes at meetings

• Knowledge of Drama H&S practices and policies

• Understanding of working practices of a production department
