The Team Assistant role plays a vital role within the Group Legal team providing support to the Deputy General Counsel (DGC), their direct reports, and the broader Group Legal team as needed. You will need to be able to work independently, manage high volumes of work, be comfortable with taking instructions and be confident to approach senior members of ITV whilst maintaining absolute confidentiality.Key Responsibilities:.Provide administrative support to the DGC and their direct reports and handle confidential documentsPrepare confidential documents with accuracy and speed and facilitate the electronic execution of documentsCreate presentations using Google Slides / PowerPointBuild and maintain strong and trusting working relationships with key internal and external stakeholders e.g. General Counsel (GC) and the GC's PA, Senior Legal Leadership Team and external law firmsArrange and book travel as required, including preparation of detailed itinerariesRaise purchase orders, track invoices and payments as required and provide year end breakdown of costs to finance on 'exceptional spend' - actual vs forecast along with projected spendCompile reports for submission to the General Counsel and internal boards/committees, including requesting updates from contributors and collating responses;Track and collate responses from the business to bulk questionnaires, risk assessments and information requestsProvide logistical support for multi-participant meetings and conference calls including co-ordinating diaries, booking meeting rooms, arranging refreshments and AV equipment, and welcoming guests as neededProvide logistical support for internal town halls and large scale annual L&BA offsites for UK L&BA team (over 200 attendees) Together with the GC's PA, coordinate annual renewal of practising certificates for UK qualified lawyers and renewal of licences for legal knowledge resources (e.g. Practical Law)Together with the GC's PA, maintain Group L&BA distribution lists and keep contact information updated;Work closely with other L&BA assistants forming a support network and sharing best practiceOther ad hoc duties for the wider L&BA teams when requestedSkills you'll need (minimum criteria)Administrator at Director level adept at managing complex/multiple diariesProficient technical skills, with the use of Google Suite, PowerPoint, Word & ExcelAttention to detailOther things we're looking for (key criteria)· A flexible and creative approach to problem solving· Proactive self starter with initiative and accuracy· Proven organisational skills· Works well on own initiative and as part of a team· Ability to build relationships internally and externally
