Why you're here:

To offer support to 7 members of the Senior Management team. To manage their diaries and co-ordinate complex meetings, offering general administrative support as needed.



What you are here to do:

The role is a Team Assistant to the Senior Management Team. The responsibilities are outlined in the key areas below:

Delivery

To be the central point of contact for meeting requests with the 7 Senior Managers
To be responsible for the daily management of their diary; organising and co-ordinating daily activities, prioritising meetings, liaising with associates and colleagues and updating/communicating their movements as appropriate.
To flag potential issues/clashes in sufficient time to ensure they can be resolved
To organise the logistics of these meetings, including location, hospitality and meeting and greeting visitors as necessary
To set up conference calls as needed
To co-ordinate travel arrangements and liaise with business associates as appropriate. Ensure any necessary visas are obtained and correct.
To assist with gathering of paperwork for key meetings and circulating within a reasonable timeframe before the meeting.
To provide ad-hoc support with projects or pieces of work, which may include preparation of presentation slides
To allocate time week to run through diary commitments and priorities with each Manager.
To collate monthly expenses, if needed, and pass to the Accounts Department for processing.
Team

To work effectively with all teams, companies and associates to ensure consistency, efficiency, professionalism and effective communication.
To work with other PA's across the business to ensure you are always up-to-speed with what is going on across the Senior Management Team so that you can stand in for other members of the PA team in their absence.

Other Duties

To purchase any gifts for business associates as appropriate.
To attend internal meetings as required by your Manager and provide updates on your area of responsibility.
To remember that, due to the nature of this position, you will have access to highly confidential and sensitive information, to ensure that this information is treated appropriately and that it is not inadvertently disclosed to any means (including being overheard or overseen).
Undertake any other task, deemed to be appropriate to this role, as directed by your line manager


What you need to know:

The Team Assistant is expected to have the following skills and knowledge:

Highly organised, professional and ideally with a passion for food.
The ability to co-ordinate numerous projects and tasks to strict deadlines while remaining calm under pressure.
Highly computer literate
Enjoys changing deadlines and shifting priorities, using initiative to identify innovative and creative solutions to organisational challenges
Good communication and interpersonal skills to manage relationships both internally and externally. Excellent written and verbal skills.
Able to confidently interact with colleagues at all levels
This role requires a proactive approach to tackle ad hoc tasks as necessary to support the teams in Jamie Oliver Media Group and Jamie Oliver Licensing Limited
