Viacom brands are seen globally in more than 705 million households in 169 territories and 37 languages via more than 184 locally programmed and operated TV channels and more than 550 digital media and mobile TV properties. The MTV International Digital team creates a large volume of video content every day, which is then published across numerous UK and International social channels and platforms. From daily MTV News content, to original short form series and formats that span MTV Shows, Music, Movies, Celebrity, Travel and more. The team is a creative powerhouse, responsible for producing engaging and entertaining content for global audiences.Reporting into the Head of Video, the Senior Production Coordinator will be responsible for managing all departmental workflows, costs and budgets; working closely with Creative, Video and Editorial teams to ensure all output is compliant and delivered to deadline, as well as providing support to all editors and the production team. You will manage the day-to-day workflows for all edit, shoot, creative and freelancer requests and bookings, and be integral in how this then feeds into the wider international business. Key Responsibilties include; PRODUCTIONManage studio bookings and kit requests for the teamSet up clear and achievable production schedules for multiple projects and make sure teams are on trackAssist production teams with researching and booking locations and contributors for shootsObtain location permits and negotiate ratesCreate call sheets for filmingPrepare Risk Assessments and ensure all control measures are adhered to on location/in studioBook cabs for shoots and the production team when needed FINANCECreate and manage multiple budgets and cost trackers, monitoring spending closely, working alongside senior team members and the finance departmentCollate all invoices, raising Purchases Orders where necessarySet up new suppliersWork with accounts payable to ensure all external suppliers, freelancers and casual employees are paid correctly and on timeRun actual and commitment reports to help the department stay on budgetManage the expenses process for senior team members LEGALLiaise with MML and compliance regarding clearance of short-form video contentWork with colleagues to negotiate contract terms and fees for collaborating production companies, creative agencies and freelancersLiaise with the legal, HR and finance departments for all contracts, NDAs, vendor selection, capex, payments, and implement new company policies effectively into the daily work routine e.g. freelancer employment guidelines, expenses and T&E, v/o contract negotiations, be aware of changes to accounts payable processesHave knowledge of different freelancer/casual contract types and payment terms and employ as appropriateBe responsible for raising all contracts and ensuring completed contracts are returned and returned to legalManage music cue sheets, music sourcing and clearanceWork closely with legal and HR teams to ensure legal procedures are followed and necessary contracts are raised for all suppliers and freelancersEnsure relevant legal paperwork is completed for all shoots DEPARTMENTWork closely with Producers across multiple projectsManage kit, props and stationery cupboardsAttend idea sessions to discuss future projectsAssist production team with Ad Hoc requestsKey Skills;Significant experience as a Production Coordinator, preferably in a digital or broadcast environmentAbility to budget and forecast accurately and draw up all kinds of filming budgets from small location shoots to large studio filmingExperience of keeping accurate budgetary records/cost managers, reconciling budgets and using purchasing systems/raising POsPrevious knowledge SAP, or similar finance system, preferredStrong administration and organisational skillsExperience of using productivity tools such as Monday.com or TrelloExperience setting up a production schedule from scratch and successfully seeing it through to completion, ideally for short form contentAwareness ofGDPR regulations Knowledge of working with children and child protection policies an advantageAdobe Premiere and camera knowledge preferableAbility to draw up risk assessments and in-depth knowledge of Health and SafetySolid experience of shoot prep and adminExperience of all genres of filming, particularly location and studio workExceptional attention to detailGood time management, organisational and forward planning skillsAbility to cope calmly and efficiently under pressurePro-active nature and dedication to providing a first-class support serviceFlexible and able to adapt to the changing needs of the department and MTVAbility to build strong relationships with key contacts within the companyPossess a positive attitude and energetic approach to workAbility to work well in a team environment and help achieve departmental goals
