Senior Production coordinator

London

The Always On digital team is at the heart of MTV's digital studio, creating daily editorial, creative and video content published across numerous UK and International social channels and ONO platforms. From MTV Shows to Music, Movies, Lifestyle, MTV News and more, the Always On team is a creative powerhouse, responsible for producing engaging and entertaining content on the regular.



Reporting into the Head of Video, the Senior Production Coordinator will be responsible for managing all departmental workflows, costs and budgets; working closely with Creative, Video and Editorial teams to ensure all output is compliant and delivered to deadline, as well as providing support to all editors and the production team.


You will be responsible for managing multiple budgets, raising POs and filing invoices, and ensuring freelancers and contractors are paid regularly.
You will manage the day-to-day workflows for all edit, shoot, creative and freelancer requests and bookings, and be integral in how this then feeds into the wider international business.

You'll Need To...

PRODUCTION
Set up clear and achievable production schedules for multiple projects and make sure teams are on track
Work with key stakeholders in the team to refine existing work processes, and to help develop and maintain a strong content distribution method with key regions
Assist production teams with researching and booking locations and contributors for shoots
Create call sheets for filming
Prepare all Risk Assessments
Book cabs for shoots and the production team when needed

FINANCE

Create and manage multiple budgets and cost trackers, monitoring spending closely, working alongside senior team members and the finance department
Collate all invoices, raising Purchases Orders where necessary
Set up new suppliers
Work with accounts payable to ensure all external suppliers, freelancers and casual employees are paid correctly and on time.
Manage the expenses process for senior team members

LEGAL

Manage music cue sheets, music sourcing and clearance
Liaise with MML and compliance regarding clearance of short-form video content
Work with colleagues to negotiate contract terms and fees for collaborating production companies, creative agencies and freelancers.
Liaise with the legal, HR and finance departments for all contracts, NDAs, vendor selection, capex, payments, and implement new company policies effectively into the daily work routine e.g. freelancer employment guidelines, expenses and T&E, v/o contract negotiations, be aware of changes to accounts payable processes.
Have knowledge of different freelancer/casual contract types and payment terms and employ as appropriate.
Be responsible for raising all contracts and ensuring completed contracts are returned and returned to legal.
Work closely with legal and HR teams to ensure legal procedures are followed and necessary contracts are raised for all suppliers and freelancers.
Ensure relevant legal paperwork is completed for all shoots.

DEPARTMENT

Work closely with Producers across multiple projects
Manage kit, props and stationery cupboards
Attend idea sessions to discuss future projects
Assist production team with Ad Hoc requests

Must Have These Ninja Skills:

Experience:

Experience as a Production Coordinator, preferably in a digital or broadcast environment
Ability to budget and forecast accurately and draw up all kinds of filming budgets from small location shoots to large studio filming.
Experience of keeping accurate budgetary records/cost managers, reconciling budgets and using purchasing systems/raising POs
Strong administration and organisational skills
Experience of using productivity tools such as Trello
Experience setting up a production schedule from scratch and successfully seeing it through to completion, ideally for short form content
Adobe Premiere and camera knowledge preferable
Ability to draw up risk assessments and in-depth knowledge of Health and Safety
Solid experience of shoot prep and admin
Experience of all genres of filming, particularly location and studio work
