Scripted Team Assistant

Job Purpose

We're looking for a highly organised and proactive Team Assistant to support the day-to-day operations of the in-house production management team within our Scripted Hub. This role will also work closely with the Finance and Legal departments within the hub to ensure they are fully supported. Previous administrative experience, bundles of enthusiasm and a passion for TV are essential in order to thrive in this role!

Duties

Provide administrative assistance to the production hub which included Production and Legal Affairs.
Maintain and manage diaries for the team as required.
Scheduling zoom calls and sending diary invites for the whole team.
Assist with production start-ups in the form of production paperwork (prep diaries, unit lists, availability spreadsheets).
Assisting with crew availability checks.
Research travel options for producers, writers and early production recces. Booking travel and accommodation and completing and sending out travel movement orders and assisting with any changes required.
Scan and file contracts. Sending documents for digital signature.
Logging and saving production documents as they come in from the production offices.
Reconciliation of department credit cards and expense returns and coding on PMI accounting system, coding to correct budget.
Keeping up to date with purchase orders on PMI accounting system and logging incoming invoices.
Ensuring new starters are set up with IT, security passes, Box access.
Booking taxis/couriers as required.
Point of contact for visitors to the office and greeting guests for interviews or meetings.
Monitoring/Triaging Finance inbox and being point of contact for supplier queries.
Collating documents for ad hoc development payroll.
Diary management and assistant duties for CCO.
Generally ensuring the office is tidy, supplies are well-stocked, and everyone has a suitable workspace.
Knowledge & Skills

Experience of working within a busy TV, film, theatre or agency environment as an assistant or with proven administrative experience is essential.
Proficient IT user - Outlook, Word, Excel, PowerPoint, Adobe.
Highly organised with an ability to meet deadlines by prioritising tasks.
Able to work calmly under pressure.
Excellent time management skills and ability to manage conflicting demands.
Attention to detail.
Excellent communication and interpersonal skills.
Ability to work collaboratively as a team but is also motivated to work individually.
Have an enthusiastic and proactive attitude towards your work.
A passion for the TV industry.
