Evolutions Post Production are looking for an energetic Receptionist to join their busy London facility. Evolutions is one of the largest independent post houses in London with over 100 edit, audio and grading suites at three central London sites.Job Summary/Key focus of the role:To answer all calls and enquiries in an efficient, professional and timely manner.Welcome and direct all clients, staff and suppliers in a professional, welcoming and efficient manner.Undertake associated day to day tasks and administrative requirementsResponsibilities/Main activities of the role:Answering all incoming calls to the company in an efficient, polite and professional mannerTaking messages when required and ensuring they are passed to the correct person quickly and efficientlyMeeting, greeting and directing all clients, staff and suppliers in a welcoming and efficient wayMaintaining a clean, tidy and quiet reception areaAssisting clients with faxing, photocopying and e- mailResponding to client calls in the absence of a RunnerTraining temps and Runners on Reception as requiredSorting and distributing postEnsuring company post for external posting is taken to post office by 1700 hours dailyKeeping the Client Services Manager informed of any staff or client issues as applicableMonitoring all incoming and outgoing staff and visitors, ensuring the sign in/out procedure is followedRaising Purchase Orders for food/stationery/wine and order supplies, as requiredRegular liaison with the P.A. to the M.D. in order to obtain up to date industry knowledge of the function of the role to ensure consistent, efficient and professional workflowEntering client food account information onto scheduling system for invoicingWeekly checks to ensure all client information is present and correct and liaise with Bookings / Finance accordinglyCollating stock check information for review authorisation by the Client Services ManagerProviding stationery requirements to PA to MD on a weekly basisProviding requirements of Evolutions branded items, including water, to PA to MD on a routine basisUpdating notice boards with company information, jobs we have worked on, and any relevant news etc as requiredBooking meeting rooms as requiredAssisting Library staff with minor duties where possible as requiredResponding to ad hoc requests from the Client Services Manager as requiredJob Specific Skills:Previous experience of working in a client service environmentExceptional communication and organizational skillsStrong client liaison and relationship-building skills, with the ability to interact with people at all levelsExcellent attention to detailAbility to multi task and be productive in a fast-paced demanding environmentAbility to work autonomously and as part of a teamFamiliar with Microsoft Office applications and switchboard systems with the ability to train others accordinglyPersonal Attributes:Confident, polite and articulate with a positive and professional approachHighly motivated and proactive with the ability to use own initiativeExcellent customer service skillsAction and results orientedDiplomatic and practicalTeam playerFlexible
