You will need to be a detail-oriented and personable multi-tasker who, ideally, has some experience in a fast-paced office setting. Working alongside two Operations Assistants, you'll report into the Office Manager and support the delivery of our facilities and office management across all Avalon UK business divisions.ResponsibilitiesResponsible for the presentation and functionality of reception at all times, reporting any faults to the Office ManagerAnswering and directing all callsMeeting and greeting all visitorsOrganising refreshments in liaison with the Operations AssistantsOrdering national and international couriers and bikes and cross charging accordingly to the relevant departmentsMaintaining a bike and courier book spreadsheet (national and international) with all bookings and cross checking with invoicesOrganising cabs, etc, for clients and visitors where necessaryUpdating the Avalon intranet across starters and leavers and in general, in liaison with the Office Manager and People Operations Partner, ensuring all copy is current and correctAssisting with content and design for the monthly staff newsletterSetting up new starters, including company training such as DSE, GDPR and Dignity at WorkKeeping client contact lists updated and distributing when necessaryAssisting the Global Director of Operations & HR with credit card reconciliationsKnowledge, skills and experiencePersonable and professionalExcellent verbal and written skillsFront of House experienceAbility to work independentlySelf-motivated with a keen eye for detailAbility to prioritise tasks effectivelyProficiency in PhotoShop, Canva and Campaign Monitor desirablePlease send a CV with a covering letter Please note: Applications will be reviewed as and when we receive them, and only shortlisted candidates will be contacted.We are always on the lookout for exceptional talent.
