The Role
Responsibilities
Pre-sales assistance
Collaborate with the commercial team to ensure a seamless transition from sales into project execution.

Provide advice to the commercial team when generating quotes to aid them in rounding out relevant solutions relating to equipment, crew and costs.
Support the commercial team in the production of the Statement of Works (SoW) and building event knowledge for the projects department.

Project planning and delivery

Working across a number of events you will be expected to help plan the facilitation and execution of events across the areas below:
Client Liaison

Build strong relationships with the clients and provide them with the confidence that their event is in safe hands.
Attend client meetings, site visits and set clear expectations on deliverables and timelines.
Resourcing, Resourcing & Scheduling

Use Flux's project framework, methodologies and tools in the strategic planning of the event, including its risk assessment and communications plan.
Set out clear expectations with the production team.
Complete tasks and hit milestones, tracking dependencies, time and resource usage.
Promote collaborative teamwork and build positive inter team relationships.
Use creative knowledge to advise on briefs and work with Producers, Directors and Graphic designers to round out the client's broadcast vision ensuring it is viable for broadcast.
Use existing production knowledge and understanding to effectively advise and educate when required.
As well as creating a strong team environment, employ self-dependence and creative thinking or research to implement the required solutions.
Efficient and diligent creation of H&S practices:
Creating RAMs documentation and insurance approval
Shared approach with our clients so they are aware of our actions and comfortable in our approach.
Arrange essential logistics:
Overseeing the delivery, checking and documenting of hire equipment,
Planning delivery to location,
Creating delivery lists, carnets or freight numbering,
Kit re-delivery to Flux offices and crew to unload,
Crew travel and accommodation requirements,
Crew call times, testing schedule, client schedule, rig schedule, rehearsal schedule, live schedule / show running order, de-rig schedule, onboarding, call sheet creation and distribution, collate project information and plans,

Procurement & Budgeting

Track and manage the project budget, managing client expectations and employing change control process to ensure both client satisfaction and project profitability.
Build positive relationships with suppliers, freelancers and hire houses.

Live Execution
Lead the team in the successful delivery of remote and on location shoots, promoting effective organisation within the team respecting the requirements and confinements that affect the rig, live and de-rig
Manage and support all team members in their roles aiding them in creatively problem solving and mitigating issues by employing risk management
Manage the clients expectations throughout the live event, making sure they are kept informed and happy with progress.

Back Office Assistance
Supporting the Head of Projects with project office activities and departmental improvements.
Required skills, knowledge and experience:

Strong:
organisational skills
communication skills, both written and verbal
computer skills
The ability to
manage people across multiple crews
manage multiple concurrent projects
learn and adapt quickly to the digital environment
Solid understanding of:
front-end creative and editorial integration into event planning
live video production workflows and platforms
project management workflows
technical production knowledge
Experience:
working in a live / high pressure environment
managing projects for high profile clients
with video production and broadcasting (live, remote and pre-recorded)
managing budgets
Other requirements:

Passport to allow international work travel
Full UK driving license

Hours: Office 10-6 Monday - Friday, work outside of these hours will be required on events. Time in lieu for weekend work and flexible hours for late night/evening work.

Holiday: 28 working days (including English Bank Holidays).

Salary: £35,000-£40,000 depending on experience
