Programme Coordinator

Glasgow

Daytime is responsible for commissioning new and long running series such as Come Dine with Me, Escape to the Chateau: DIY, Extreme Cakemakers and Find It Fix It Flog It.

The department also commissions a range of series for More4, including 999: On The Frontline and My Floating Home.

JOB PURPOSE
* To provide the highest level of cross functional administrative support to the Head of Daytime and the Glasgow Creative Hub Commissioning team
* The role is accountable for the best working practice and systems for the department and managing journey of contracts and programmes from point of development/commission through to delivery and beyond.
* The role also supports the Commissioning Editors through the management of all relevant editorial/compliance processes and
Channel 4 systems, including sign off liaison with Commissioning Editors and associate departments.
* The role is responsible for the smooth functioning of the department at all levels, attending meetings, distributing ratings, and liaising on awards.
* On occasion, this role will require being flexible to work outside of regular working hours and be contactable on evenings and weekends.
* Due to the position in the Glasgow Creative Hub, the role will be expected to work across genres to support the whole Commissioning team of Commissioning Editors.
* It will not be the only Programme Coordinator supporting them as others will support remotely from London.

KEY RESPONSIBILITIES
* PA to the Head of Daytime and the Glasgow Commissioning team incorporating Commissioning Editors, providing full administrative support including diary management, travel arrangements, arranging events, dealing with general correspondence and expenses filing
* Ensure visitors to the Commissioning team in the Glasgow Creative Hub are handled appropriately
* Log all incoming proposals responding to those sent by individuals. Ensure proposals sent by Indies are handled by the relevant Commissioning Editors across the genres
* Manage and set up systems in the department, including compliance processes for individual projects where necessary
* Review all materials delivered for broadcast at the earliest opportunity, alerting Commissioning Editors and relevant parties of any issues
* Complete 'Programme Certification' and language forms for all department output prior to broadcast, and communicate warning/flagging and viewer support details
* Jointly responsible with the Commissioning Editors for editorial/compliance issues, with appropriate referral to the Commissioning Editors and/or programme lawyers
* Close monitoring of contract delivery, liaising regularly with external suppliers and Channel 4 departments on any issues
* Raise all project forms and coordinate Editorial Specification forms for the department through 'Commissioning Cycle'
* Dubbing and editing of output as requested for 'Programme Review' and departmental briefings and sourcing programmes for showreels.
* Responsible for compliance editing of output, such as 'All Times' re-versioning
* Re-versioning of licensed contracts to Channel 4 technical specification when required
* Track ratings and performance of programmes, distributing as required and adding to Bible
* Act as custodian of department's archive (Commissions, Pre-Purchases and Licences), monitoring schedules for repeats across the Channel 4 portfolio, reviewing materials as necessary, informing Comm Eds and Indie and communicating with key areas on any post-TX issues requiring action
* Manage legal, press and editorial sign offs for weekly press deadlines and inform HODs of programmes going to press each week including information on trails
* Update 'General Enquiry' with correct programme titles and slots using 'Programme Maintenance'
* Update and distribute department programme 'Bible' when required
* Manage awards entries for the department
* Mandatory attendance at regular editorial and compliance training sessions for Commissioning Programme Coordinators
* Daily distribution of department Viewer Enquiries
* Monitor the department's adherence to the Creative Diversity Guidelines, update spreadsheet and flag when issues occur
* Source programme announcements for contentious programmes and distribute to Comm Eds

ESSENTIAL EXPERIENCE AND SKILLS

Technical & Professional Skills
* Proven ability to cope in a very busy environment and to perform in high-pressured situations to be able to prioritise and cope with several tasks at once
* To have and use initiative, but also be able to respond to orders and have a willingness to do whatever is required, however mundane
* Proven ability to prioritise tasks and work effectively without supervision
* Excellent interpersonal skills
* Proven ability to be part of a team, work well with others in an open-plan department and deal politely with visitors from other companies
* Possess a keen attitude and a willingness to learn
* Flexibility, patience, perseverance and commitment to get the job done

* Always display a helpful attitude whilst managing diaries carefully and sensitively
* Excellent IT skills, including all Microsoft Office programmes
* Excellent attention to detail
* Experience of TV production process including compliance, press and publicity
* Understanding of the Ofcom Broadcasting Code
* Demonstrable interest in television and the media

* Ability to work across multiple genres with multiple Commissioning Editors as part of a remote team across the UK
* Ability to deal with several projects at once, prioritise and work efficiently under pressure
* Build and maintain effective working relationships at all levels of seniority, both internally and externally
* Good communication skills
