The purpose of this role is to assist in production planning, organization and budgeting of international and domestic multimedia projects. Additionally, this role is intended to provide strong internal coordination, communications, and organization support. This person will work closely with the Head of Production, coordinating aspects of production and post-production and communicating with clients to provide the highest quality of service. This person will also work closely with the Managing Director to assess the company's organizational, administrative, and operative needs, pinpoint inefficiencies, and improve upon existing systems. Additionally, this person will be able to work calmly under tight deadlines and will be an excellent communicator. Responsibilities and TasksCoordination and assistance in the following areas:- Prep shoots: Obtain permits, maintain schedules, book equipment, and draft transportation plans, call sheets, and pre-production booklets- Maintain PO log- Booking of crew and equipment- Travel planning and organization- Preparation and filing of legal aspects of production including materials, appearance, and talent clearances - Scheduling of productions and internal resource planning according to that scheduling- Assistance in various procedures of content development, principal photography and post-production through to delivery- Secure insurance for each production, incl. special insurances specific to project needs- Assist with overall production oversight and "home base" operations while team on shootsAdministrative organization in the following areas:- Work closely with PA to ensure projects properly scheduled in team calendar and communicated effectively to team.- Maintain folder structures and electronic filing of all aspects of production- Ensure all wrap materials delivered at end of job- Pinpoint organizational inefficiencies and work with PA to resolve- Draw up corporate CI templates - Maintain database of preferred vendors- Keep industry and corporate templates up-to-date, in accordance with latest industry standardsProject Management: - Manage the content, temporal and financial scope of various projects as neededEducation and Experience:- Professional experience in film (or agency) production. Broadcast production a plus. In-house experience a plus.- At least 3 years of experience as a production coordinator- Ideally, Business Management / Film / Post Production educational background.Skills and Knowledge:- Communicative, assertive. Flexible, able to work in a team, open to new challenges and new structures. - Also, able to work independently on projects with little supervision.- Business English (spoken and written). Other languages a plus.- Knowledge in budgeting.- Knowledge of the service companies in the industry (EU/USA/worldwide).- Constructive thinking, above-average commitment and resilience.- Knowledge of Microsoft Office Suite, Keynote, excel-based budgeting templates, and basic calendar/scheduling and tele-conferencing software.Passion for automotive, motorsports, and cars a plus.
