Production Coordinator

London

Kenny Wax Productions is seeking a Production Coordinator to work on the West End production SIX The Musical and other projects

Candidates should be able to start in September 2023.
Kenny Wax Productions is firmly established as one of the UK's leading producers of West End productions and touring theatre.
Current productions include the Tony Award - winning smash - hit SIX the Musical (West End, UK Tour, Broadway, US Tour, Australia); Mischief Theatre's The Play That Goes Wrong (West End & Off-Broadway) and Peter Pan Goes Wrong (UK Tour opening in Autumn 2023); and Derren Brown's Unbelievable (opening in the West End in September 2023)

JOB DESCRIPTION
Cast & Creatives
General coordination and oversight of the casting process in liaison with casting directors
Ad hoc attendance at auditions and showcases where relevant
Deliver emergency casting solutions to unexpected absence/injury
Ensure good communication with Creative team on relevant production matters

Staffing
Negotiate cast offers & issue contracts
Assist with the negotiation of creative team deals and contracts
Liaise with production managers & Company Managers - oversee their recruitment, negotiate and issue contracts
Maintain knowledge of cover arrangements across productions, ensure adequate cover
Maintain a good working knowledge of all relevant Union Agreements

Production
Horizon Scanning: look ahead for forthcoming productions, flagging periods to hold off for casting, recast rehearsals, milestones & events etc.
Hold regular Equity dep meetings and attend Health & Safety meetings
Troubleshoot ongoing issues faced by production employees including liaison with show staff and/or agents as necessary
Support Company Managers as appropriate and brief CMs about KWL GM working practices
Ensure programmes go to print with all necessary content as per any contractual requirements
Facilitate production Q&As, meet & greets, backstage tours
Lead on the delivery of press nights, publicity performances and other events

Finance
Assist the General Manager with the creation of production budgets
Oversee the preparation/proofing of show payrolls
In liaison with the accountants, the timely administration, calculation and payment of royalties
In liaison with the producers, GM and Finance team, create and distribute Investor Newsletters, investment returns, Profit Statements and profit distributions.

Insurance
Secure appropriate insurance cover for each production; liaise with insurance brokers; processing insurance claims.
Liaise with employees regarding claims process & updates etc.

Marketing
Support the marketing & press team with content creation and special event logistics
Participate in regular marketing meetings
Proof artwork and play an active role in contributing marketing ideas

General
Delegate work as appropriate to the Production Assistant
Actively contribute to a collaborative, friendly & supportive office environment.
Maintain systems for archiving data, ensuring adherence to the General Data Protection Regulation legislation.
Any other reasonable duties required to assist the Producer, General Manager or production office.

PERSON SPECIFICATION:
Minimum 2 years' experience working in theatrical production/general management (ideally in a commercial environment)
Excellent interpersonal and negotiation skills
Excellent verbal and written communication skills and attention to detail
Ability to work across multiple projects at the same time, effectively prioritising workload
Pro-active, supportive and positive attitude
Excellent level of computer literacy to include Outlook, Word and Excel programs

FURTHER INFORMATION

Contract - Full time, fixed term 12 month contract

Working Hours - 10-6pm Monday - Friday (40 hours a week) plus occasional evenings and weekends where necessary
