Production Coordinator

The Clients Department is responsible for liaising with existing clients and trying to attract potential new clients which then allows our investors to focus on investing. The Clients Department functions as a number of teams working together to provide the highest possible level of service to the firm's client base.

The Film and Photography Team sits within the Clients Department and is an award-winning, multi-faced, full-service in house resource creating engaging content for the firm's audiences around the globe. The team has a broad range of expertise and experience and draw upon these to produce impactful films, animations, live broadcasts, podcasts, stills content and campaigns for the benefit of Baillie Gifford and its clients. The team collaborate with a range of other in-house teams and stakeholders as well as external suppliers and freelancers to deliver engaging and impactful media.

Purpose of Role
Working under the Line Producer as part of our award-winning film and photography team, this role will involve the production coordination of film, photography, podcast and broadcast content.

You will help to facilitate production paperwork, project bookings, project tracking, trouble shooting, administration and communication across the team.

Using production management software and with support from the Line Producer and other producers in the team, you will be part of the operational running of the production cycle across the team, with a focus on production administration and booking, organisation of studio and reactive work, assisting on creative shoots and supporting our auditorium filming.

This role would suit someone with a strong background in a Production Coordinator role or an experienced Production Manager. This is a salaried role on a 12 month fixed term contract.

Responsibilities
* Providing hands-on support ensuring a smooth and effective production process for Film and Photography shoots.
* With support from the producers, you will be expected to help create and track production schedules, ensuring projects are completed on time.
* Alongside the Line Producer you will be the key production contact for the Camera & Broadcast Team, Producers, and Post Team, ensuring support across creative projects.
* Responsibility for the day-to-day tracking and administration of reactive and prescriptive projects, liaising with stakeholders and assisting with the wider production needs of the team.
* Production coordination on Creative projects where required.
* Communication - alongside the Line Producer you will be first port of contact for all enquiries, dissemination of information to all stakeholders, ensuring information is shared swiftly and accurately.
* Data management, updating and tracking of assigned projects on Monday.com
* Managing calendar(s), responsibility for booking and coordinating:
* Working with the Line Producer you will ensure productions run on-time and are delivered according to client requirements.
* Producing and presenting raw and statistical data reporting from various systems and sources.
* Coordinating and attending meetings, taking and following up minutes.
* Project Administration: Responsible for producing and managing: Call Sheets, Schedules, Contracts, Risk Assessments, Continuity Sheets, Production & Postproduction
* Production assisting and coordination on set and in the studio.

Experience and knowledge
* An understanding of film, photography and/or media production (essential)
