Production Co-ordinator

NotGames is a small indie games studio specialising in FMV (full motion video) games. In essence we film a live TV show and then we put it into a video game. As a result our work is a hybrid of Theatre, Film and Games development. Our critically acclaimed game Not For Broadcast launched in January and we are currently rated Overwhelmingly Positive on Steam.

We are currently looking for a full time freelance Production Co-ordinator to join our small team in Woking on a 5 month contract starting in April 2022. This is a hybrid role and we encourage applications from people with transferable skills and experience. The role is based in our studio near Woking and whilst some home working may be possible the job is mostly office / location based.

In this role you will:

Play a key role in recruiting creatives including posting casting calls, scheduling auditions/self tapes, checking availability, liaising with agents and issuing contracts.

Book locations and obtain all necessary filming permits.

Support the financial processes relating to our production including managing invoices, liaising with suppliers and other such tasks as required. Under guidance, you will participate in the process of setting production budgets ensuring they are kept up to date and accurate by maintaining effective day to day budget management.

Work as part of the team managing both long and short term scheduling including; collating cast and crew availability, building the shoot schedule, managing the daily schedule and sending call sheets.

Manage actor queries and act as a friendly and approachable point of contact in the production office.

Assist the Art Team in purchasing props and costumes when required.

Oversee the appointment process for freelance staff and contractors.

Take ownership of creating a production risk assessment to cover all possible risks and hazards each day we are filming.

Complete other administrative tasks such as arranging accommodation / travel, booking rehearsal & meeting rooms and providing general support to the office.


You will be:

Positive with a can-do attitude and a willingness to work flexibly as part of a small team.

Excellent at organisation and planning, with proven ability to work quickly and accurately under pressure and to meet deadlines.

Able to self-motivate, prioritise, and manage a complex workload.

Thorough in your approach to task completion.

Able to communicate clearly under pressure orally and in writing and have a confident phone manner.

Proficient with spreadsheets, the Microsoft Office suite / Google docs and confident learning new software packages.

A driver with their own car.
