Production Co-ordinator

WORK FROM HOME


OVERVIEW

As a Production Coordinator you will be responsible for ensuring that a design project is delivered to brief, on budget, and meets key deadlines.



You will work directly with Jump's Senior Production Manager assisting with the following:



Communicating regular project updates to the client and Directors, monitor workflow and deliverables. You will be required to develop and maintain detailed internal project plans and client production schedules. Ensure the team understands the goals and deadlines for their workload, plan facility resources, co-ordinate studio shoots.



Work closely with the Designers, Art Directors and the Production team and always highlight immediately any changes in scope, date, and budget.



SPECIFICS

1. Running the Production Schedule for the Art Directors, Designers and Animators.

- Currently Jump has a team of 18

- Updating the work schedule each day as jobs progress; we have an existing system in Google.

- Allocating designer/animators to projects as work comes in.

- Determining what is involved in the production of the project i.e. 2D or 3D animation or a shoot

- Determining how long a job will take and therefore its relevant deadlines.

- Daily liaison with the designer/animators to ensure that they remain on schedule.

- Introducing measures to bring the designer/animators back on schedule when they stray from it.

- Constant communication with clients re: production and deadline issues or changes occurring to the schedule.

2. Organising and Hosting Pre-Production Meetings

- Holding a pre-production meeting with the allocated designer when we are first contacted about each job.

- Communicating with the potential client to try and attain their exact requirements, including a list of deliverables, to see if this can be achieved for the budget.

- Checking that the ideas to be pitched can be produced within the budget.



3. Weekly Production Meeting with the Creatives

- Preparing with the MD the itinerary for a weekly production meeting outlining and agreeing the designer's workload for the week ahead.

- Reporting any relevant information from the meeting to the other Directors.

- Relaying each designer's workload for the week back to them.



4. Produce and Present Budgets and Cost Breakdowns

- Working with the Senior PM, you will be required to prepare budgets and cost breakdowns to clients. In conjunction with a definitive list of 'deliverables'.

- We have a rate card of Jump's charges but you must be able to use your discretion effectively in order to maximise revenue and minimise costs.

- The budgets and deliverables require constant monitoring, checking that they are in line with the designers/animators schedule, workload and any external costs.



5. Job List

- You will be responsible for the day-to-day running of the job list. We have an existing system in Google that will allow you to do this. (It is a record of every job that comes into Jump including pitches and potential projects and a schedule of work and budget for each project).



6. Occasional Shoot Organisation (working with the HOP)

- This involves all aspects of organising a shoot including:

- Determining the budget for the shoot and ensuring that the costs fall within this budget.

- Negotiating deals.

- Booking studios and crew.

- Arranging & overseeing props, wardrobe and make up.

- Writing and distributing call sheets.

- Ensuring each budget is signed off by Operations Director



7. Client Liaison:

- You will be the point of contact for some of our clients. This means communicating with the client on all production and logistical aspects of each job on behalf of the designers.

This includes:

- Agreeing a list of deliverables.

- Collating feedback on work in progress & communicating this feedback to the designers

- Confirming the delivery method.

- Requesting, signing, returning and filing job contracts.



8. Freelancers

- Keeping our freelance list up to date.

- Hire freelancers when required and negotiate their daily rate.

- Check the employment status of any freelances hired.



9. Stills/Footage/Rotoscoping

- Negotiating cost and clearance of stills and footage.

- Outsourcing rotoscoping.
