Smart work in venues around the UK so the applicantshould expect some travel to be part of the role)Deadline to Apply: Wednesday, 4th January 2023Interviews: WC 9th January 2023About Smart EntertainmentSmart Entertainment offer general management and executive producing services to theatreand live entertainment.About The RoleSmart Entertainment are seeking an enthusiastic candidate to work across our productions.The successful candidate will work as part of Smart's team to ensure the smooth operationof the company, the team's time (working across several diaries) and the first-class creationand delivery of productions for our clients.Key ResponsibilitiesCompany and Production Administration• Supporting the Director and Senior General Manager in company operations• Coordinating company and client meetings• Booking travel and accommodation (sometimes in partnership with third party clients)• Booking meeting spaces, restaurants, clubs• Booking theatre tickets• Being a first point of contact for potential and current clients• Scheduling auditions and interviews• Assisting the producing team on recruiting, negotiating deals for and contractingproduction personnel including cast, stage management and production teammembers• AV checking personnel• Research suitable rehearsal and audition rooms• Acting as a point of contact for stage managers and production staff• Arranging accommodation and travel• Issuing itineraries• Scheduling production and producing team meetings• Compiling contact sheets• Minuting producing team meetings and circulating action pointsFinance• Reviewing weekly theatre contra statements, preparing questions for the producer orexecutive producer• Reconciling petty cash floats and expenses• Checking and coding invoices• Contracting investors• Administration of payroll with the production accountants• Drafting royalty statements• Drafting investor updates and statementsPress, Marketing, Customer Service• Responding to audience feedback and complaints• Compiling distribution lists for press cuttings, show reports, box office figures,marketing materials, general management updates, etc.• Overseeing access performances as required• Assisting on the organisation opening nights, including ticket requests, gifts and aftershow celebrations• Overseeing special and post show events as required• Scheduling and attending marketing meetings• Booking house seats• Accurately draft and proofread programmes and souvenir brochuresGeneral• Attending performances and company meetings• Other jobs normally associated with production assistants, administrators,coordinators, and associates in the West End of London• To maintain a high standard of administrative support, keeping thorough records forthe business across all departments.• To understand and speak knowledgably about all aspects of the business and itsprocesses, and to support and promote its ethos, aims and objectives.• To support the team in maintaining relationships with key stakeholders, supportersand investors.• To keep confidential all sensitive business information.• To undertake any other duties as may reasonably be required.Personal Specification• Experience of working on theatre productions or in a theatre environment, or oftraining in an equivalent environment• Educated to degree level or equivalent• Experience of using Microsoft Office Suite, particularly Outlook.
