Production Assistant

London

OVERALL PURPOSE OF THE JOB

To assist the in-house Production Team with day-to-day administrative tasks and to oversee the smooth running of the office.

Summary of Duties:

Front of house - greeting guests, making teas and coffees, answering phone calls.
Ensure meeting rooms are booked, set up and ready as required.
Schedule meetings for the in-house Production Team and assist with the Director of Production's diary, as required.
Book travel and accommodation for the Production Team as required.
Support the in-house Production Managers with research work relating to production (e.g. studio availability, crewing up location research, clearance research).
Assist the in-house PMs in the ensuring the Production Packs are up to date.
Oversee the company handbook and checklist, working with the in-house PM's to ensure these are kept up to date.
Assist the in-house PMs in the ensuring the Production spaces on share point are set up and ready to use.
Manage credit card expenses for the Director of Production's credit cards.
Oversee and manage company subscriptions.
Oversee and manage all company data and set storage, and ensure logs are kept up to date.
Oversee the company websites and ensure they are kept up to date.
Work alongside the Chief Exec's PA to ensure all Award Submissions are entered in good time.
Work alongside the Chief Exec's PA to schedule and arrange company events (e.g. screenings, Christmas parties etc).
Oversee and manage the staff birthday log and ensure cards and gifts are arranged.
