Production Assistant

London

Short Street Productions Ltd (formed from the Mark Rubinstein Ltd team) is an established theatre producing and general management company, working in the West End and on tour both nationally and internationally. Projects that the company is currently producing, general managing or supporting include TINA - The Tina Turner Musical (Aldwych Theatre and UK & Ireland Tour), The Great Gatsby (London Coliseum), GIANT (Harold Pinter), Till The Stars Come Down (Theatre Royal, Haymarket), Sing Street (Lyric Hammersmith), Military Wives (Theatre Royal, York) and a number of mid to large scale projects at various stages of development both regionally in the UK and in the West End.

Purpose of the role:
This role will support the team across the Short Street slate of productions.

Duties and Responsibilities may include but are not limited to:
• Providing administrative support covering various aspects of day to day running of productions.
• Assisting in the recruitment process including creating job descriptions and advertising roles, drafting and issuing contracts as required, as well as supporting the casting process as required.
• Supporting the General Management teams on child licensing, scheduling and management arrangements.
• Supporting the General Management teams in preparing for rehearsals and workshops, including researching rehearsal rooms, hiring equipment and arranging logistics.
• Making travel arrangements, including researching and booking accommodation and travel, producing full itineraries where necessary and ensuring visa needs are met.
• Proofing and updating programme, website and social media copy for productions and Short Street.
• Assisting the General Management teams in the organisation of press and PR appearances and opportunities, including providing support for Press and Gala nights and other events.
• Supporting the General Management teams in the productions' equality, diversity and inclusion initiatives, including access performances.
• Ensuring that all schedules, contact details, contract logs and other filing systems for the productions are kept up to date.
• Undertaking revenue analysis by monitoring and reporting box office sales.
• Undertaking certain production accounting activities with the finance team (including processing invoices, payroll and expenses).
• Scheduling meetings; attending and taking notes where necessary.
• Dealing with house seat requests and booking tickets.
• Carrying out research tasks and specific projects where necessary.
• Carrying out any other duties that may reasonably be required, including covering for other members of the team during holiday and illness.

Person Specification
Essential Skills and Experience
• Some knowledge and understanding of the theatre industry and the theatre-making process, but above all a passion for theatre.
• Some experience in an administrative or production role in a similar environment would be advantageous but not essential.
• Computer literacy including knowledge of Word, Excel and Outlook.
• Excellent written and numeric skills.
• Excellent face-to-face and written communication skills and a confident telephone manner.
• The ability to remain calm and flexible when working under pressure and to juggle multiple projects and tasks.
• A methodical, logical and thorough approach to work and an ability to use initiative. Excellent attention to detail and proof-reading skills.
• An ability to respect confidentiality and use diplomacy and discretion.
• Willingness to work collaboratively as part of a small team, offer help and support to colleagues and cover other roles as necessary.
• Enthusiasm and willingness to learn.
• Dog friendly.
