This is an all-encompassing PA role with complex diary, travel and markets management, supporting a busy Head of department who plays an integral part of Fremantle's core business. You will be the gatekeeper and often the first point of contact for GEP enquiries, dealing with our international offices and their clients on a daily basis.

Key Activities and Responsibilities:
To manage the complex, fast paced and ever-changing diary for the Head of Global Entertainment Production, especially during key periods such as markets i.e. MIPTV / MIPCOM and also the busy production period from August to December.
International travel management, including the pricing and booking of tickets, visas and accommodation, and the preparation of detailed itineraries.
To manage logistics of all GEP led events, such as international format workshops/studio visits i.e. venue sourcing, budgeting,technical requirements, sending invites, managing RSVP's and delegate expectations and liaising with guest/VIP speakers.
Production tracking management on DPS for all international Fremantle produced shows. This includes DPS software development as and when required.
To gather information and produce content for both presentations and post-market reports to third party format owners (working with Fremantle's design team where required).
Screening internal and external calls, taking messages,arranging conference calls across international time zones. Ensuring that the relevant information for these calls has been provided and there is sufficient time to allow for preparation.
Meet and greet internal and external clients, taking messages and fielding queries.
Coordinating meeting room bookings, hospitality and technical aspects as required.
Carry out project work as and when required.
Provide cover for VP & Coordinators as and when required.
All other general administration duties, including but not limited to processing of expenses, PO's/invoicing and holiday approvals.

Key competencies and qualifications:
Demonstrable PA experience in a global organisation, with a proven track record of supporting senior individuals.
An interest in TV production and a proactive and positive attitude, willing to deliver a high standard of work.
Excellent organisational and time-management skills.
Strong problem-solving skills.
Experience of working under pressure, multi-tasking and using one's own initiative.
Must be highly self-motivated, have the ability to prioritise and work to tight deadlines.
Resilient and proactive mind-set with a flexible approach to daily workload and GEP team requirements.
A real team player,but also the ability to work independently.
Excellent attention to detail.
Professional presentation and demeanour with strong written and verbal communication skills.
Excellent Mac & M/S Office skills including Word, Outlook & Keynote. Knowledge of PowerPoint & Excel would be beneficial but not essential.
Ability to work within a diverse team and deal with people at all levels, worldwide.
Ability to occasionally travel abroad for events or markets if required.
