Operations Manager

Overview of role
Responsible for supporting the smooth day-to-day running of Curly Media from an operational, administrative and people perspective. This role sits at the heart of the business and supports the team across office & systems management, HR admin, contracting and finance / cost tracking.

Working closely with the senior team, the Operations Manager helps make sure Curly runs efficiently, that people are supported properly, and that the practical, behind-the-scenes elements of running a busy branded content agency / production company are taken care of.

This is an office-based role, with the successful candidate expected to be based in our London office at least 3 days per week.

Tasks & Responsibilities
Manage and take ownership of the day-to-day running of the London office, ensuring it is a welcoming, well-organised and functional space
Act as the first point of contact for day-to-day operational queries, resolving issues independently where possible
Manage office equipment and facilities, ensuring the team has what they need to work effectively
Lead on onboarding new starters, including setting up equipment, emails, logins, slack and access to relevant systems and tools
Maintain and oversee internal systems, documents and shared drives, ensuring information is accurate and well organised
Support and manage HR administration (Breathe HR), including onboarding, offboarding and maintaining employee records
Support in the recruiting process - posting job ads, tracking applications and setting up interviews
Own the tracking of holiday, sickness and absence across the team
Support and manage the issuing of staff and freelancer contracts, ensuring documentation is in place and up to date
Help maintain and update internal policies and the curly handbook
Act as a trusted, confidential point of contact for day-to-day people and admin queries

Maintain clear records of contracts, rates and key dates, flagging renewals (like insurance, business rates etc.)
Liaise closely with production to ensure all paperwork is in place ahead of projects starting
Support the management of below-the-line operational cost centres (including rent, bills, salaries and equipment)
Track ongoing office and operational costs, flagging risks or anomalies to the commercial director
Support invoice processing and general financial administration in collaboration with the production and finance teams
Provide wider operational and administrative support to the team as required
Help identify, implement and improve internal processes as the business grows

Who you are
You have 7 years + experience in a creative production agency.
You are a calm, organised and proactive presence in a fast-paced production environment
You are operationally minded and have a "systems" brain - keeping our internal platforms and filing systems meticulously ordered and you enjoy identifying areas to implement more efficient ways of working
You are approachable, a "people person" and passionate about building a positive team culture and take pride in creating a warm, inclusive and creative working environment
You handle confidential information with the utmost integrity and professionalism
You are exceptionally organised and have a strong level of attention to detail and pride yourself on this.
You are highly motivated and are someone who can self-manage
You are happy to muck in with the team
