OPERATIONS MANAGER / EXECUTIVE PATaylor Herring is a very vibrant fun family business, with 20 full time staff.We have a fun and funky office space, bang in the middle of Notting Hill, and it needs someone super organised and on it to help run it smoothly Candidates need to be multi tasker, quick thinkers, personable with great IT and phone skills, and to posess an eye for detail.Organisation, time management and prioritisation are key to the position. You'll also be working predominantly on your own so need to be pro-active and able to manage your work load efficiently, but you should also be able to work alongside the directors on a day to day basis as well as communicate and hold your own among the whole office.You'd need to be comfortable liaising with a variety of people from clients to contractors - the role often requires acting as an intermediary and an understanding of acting as the 'middle lady' would be handy!The role would suit someone who is experienced in detailed administration and is used to working in a systematic format. Having said that, you'll also need to be able to be flexible and apply yourself to any given task, and willing to be adaptable and get stuck into ad hoc duties. you will need to report on a daily basis to the directors, who will be your ultimate reports and will shift priorities as and when.Role and Responsibilities: Executive Assistant to Two Senior PartnersDiary management to the two Managing Partners· General administrative duties including filing, dealing with incoming & outgoing mail, research and proof reading when necessaryBooking in weekly meetings - internal and externalTimesheet Management Organising business and personal travel arrangements Personal Overseeing of: collating tax returns, health insurance, car insurance, contents insurance claims Office ManagerKeeping the office going!Ensuring all visitors are greeted and welcomed warmly with a cup of coffee/tea /water.Ensuring all provisions are in place for meetings, and then are cleared after usage.Working with our external I.T. support and dealing with / and overseeing I.T. and phone issuesOrdering company equipment/ stationary / overseeing of company equipment and service contracts with printers / photo copiers / Fire Alarms / common parts issues.Reviewing and liaising with company suppliersReviewing and implementing the company's health and safety policyHelping manage the agency Work Experience Scheme, (booking in interviews / arranging testing/setting them up)Supporting all other recruitment drives running interview schedules and test daysInduction days for new starters - setting up their new desks,, with the company handbook to the induction of office practice and processes.
