Job DescriptionThe Office Runner reports to the Deputy Head of Production. They provide a comprehensive, proactive running and technical support across the Outfit teamOur vision is to do something different. Stay curious. Entertain. Inspire change.Runner Outputs• Organise front of house - meet and make welcome clients and visitors• Answer telephones and the door buzzer.• Ensure the office is kept tidy and organised at all times• Ensure that the kitchen is kept clean, tidy and fully stocked. Proactively provide theteam with refreshments and ensure visitors are welcomed and their needs met.• Carry out food and drinks runs and manage the weekly budget• Print, bind, and occasionally run documents to where presentations are being held.• When directed, carry out payments to suppliers or pick up petty cash from the bank• Be the point of contact for office related queries, such as the landlord, maintenance,cleaner etc.• Manage distribution of keys and key cards• Open and close up the office when required• Reconcile your office float every Friday• Ensure that the stationary cupboard is kept clean, tidy and fully stocked.• Ensure effective administrative and filing systems• Ensure that post collection and delivery take place• Prepare meetings rooms and hospitality as required• Manage smooth running and maintenance of all office equipment, facilities and ensuresupplies are well stocked• Offer support to the partners, creative team, campaign managers and production teamswhere required• Research for pitches as required• Managing the company diary for key internal and client meetings and gatekeeping themeeting room bookings to ensure no conflicts.Skills, experience, abilities• Ideally have very good working knowledge of Word, Excel, Powerpoint.• Excellent interpersonal skills (Ability to be part of a team, work well with others inan open-plan department and deal politely with visitors from other companies)• Professional communications and telephone manner• Ability to cope in a very busy environment and to perform in high-pressuredsituations, to be able to prioritise and cope with several tasks at once - to be calmand level-headed• To have and use initiative, but also be able to respond to instruction and have awillingness to do whatever is required• Ability to prioritise tasks and work effectively without supervision• Excellent attention to detail• To possess a keen attitude and willingness to learn• A flexibility and willingness to get the job done• Excellent written and oral communication skills.• Great team worker.• The ability to be able to "think on your feet", learn quickly and throw yourself intonew challenges.Expected behaviours• To promote and maintain excellent client and public relations by dealing efficiently, effectively and politely with all matters that fall within your responsibility.• To maintain a high level of confidentiality at all times and exercise discretion and good judgement when dealing with confidential matters.• To live the Outfit values at all times; be adventurous, open and rigorous in everything that we do.
