An exciting opportunity has arisen to join Econ Films, a small and ambitious media production company as an Accounts Office Manager. The role is 2 days a week starting immediately. Reporting to the Company Founder & Managing Director and working closely with the rest of the production team, you will maintain a smooth, running office environment, provide senior level administration support to the team and help manage the daily, weekly and monthly bookkeeping for the business (you don't have to have a bookkeeping qualification but it will help). You will also provide production co-ordination support for our projects, and there may be opportunities to join the production team on set.Your duties will include: *Office Management & Bookkeeping*Diary management and personal assistance to Company Founder and Managing DirectorEnsuring stock of stationary, branding and marketing materials and company equipment (e.g. laptops, phones, camera kit, etc.)Facilities management and supplier managementManaging office inbox and answering telephoneProcessing expenses and receipts and monitoring office expenditurePreparing client invoices in Xero and ensuring payments are receivedHandling arrears / chasing late paymentsMaintaining supplier accounts and uploading supplier invoices into XeroCompleting payment run reports, making payments on behalf of the business and sending out remittances as requiredBank reconciliations on a weekly basisWorking with the Company Founder & Accountant on the preparation and filing of the quarterly VAT returnsPreparation of monthly profit and loss accounts*Production Co-ordination*Support Productions at all stages: pre-production, production and post-productionProduction co-ordination: support with booking kit, crew, travel and essentials for productionsReview projects for quality controlAssist with day-to-day running of Econ Films productions as requiredAssist with sales management and promotion of Econ Films as requiredYou will have the following skills / experience:*Mandatory*Experience in Office Management and bookkeeping using XeroHas relevant bookkeeping qualifications & experience to manage accounting tasks without daily directionExperience making payments on behalf of a businessExceptional data entry skills with a keen eye for detailProficient in Microsoft Office & Google SuiteEfficient and reliable team worker, ability to work flexibly to meet deadlinesProactive, able to work remotely (when required) and without supervisionResponds in a timely manner (within 24 hours) to emails and phone calls relating to ProjectsCurrently self-employed (or willing to be) and responsible for his/her tax affairsCan use own laptop for work*Desirable*Experience in media productionFlexibility to work some evenings and weekends as required by the ProjectAn economics, politics, business or science-related degreeExperience using BasecampThis is a part-time position with a minimum of 16 hours per week (with the opportunity of additional hours depending on the number of projects on).
