Office Manager & Production Manager (P/T)

London Bridge

An exciting opportunity has arisen to join Econ Films, a small and ambitious media production company as an Accounts Office Manager. The role is 2 days a week starting immediately.

Reporting to the Company Founder & Managing Director and working closely with the rest of the production team, you will maintain a smooth, running office environment, provide senior level administration support to the team and help manage the daily, weekly and monthly bookkeeping for the business (you don't have to have a bookkeeping qualification but it will help). You will also provide production co-ordination support for our projects, and there may be opportunities to join the production team on set.

Your duties will include:

*Office Management & Bookkeeping*
Diary management and personal assistance to Company Founder and Managing Director
Ensuring stock of stationary, branding and marketing materials and company equipment (e.g. laptops, phones, camera kit, etc.)
Facilities management and supplier management
Managing office inbox and answering telephone
Processing expenses and receipts and monitoring office expenditure
Preparing client invoices in Xero and ensuring payments are received
Handling arrears / chasing late payments
Maintaining supplier accounts and uploading supplier invoices into Xero
Completing payment run reports, making payments on behalf of the business and sending out remittances as required
Bank reconciliations on a weekly basis
Working with the Company Founder & Accountant on the preparation and filing of the quarterly VAT returns
Preparation of monthly profit and loss accounts

*Production Co-ordination*
Support Productions at all stages: pre-production, production and post-production
Production co-ordination: support with booking kit, crew, travel and essentials for productions
Review projects for quality control
Assist with day-to-day running of Econ Films productions as required
Assist with sales management and promotion of Econ Films as required
You will have the following skills / experience:

*Mandatory*
Experience in Office Management and bookkeeping using Xero
Has relevant bookkeeping qualifications & experience to manage accounting tasks without daily direction
Experience making payments on behalf of a business
Exceptional data entry skills with a keen eye for detail
Proficient in Microsoft Office & Google Suite
Efficient and reliable team worker, ability to work flexibly to meet deadlines
Proactive, able to work remotely (when required) and without supervision
Responds in a timely manner (within 24 hours) to emails and phone calls relating to Projects
Currently self-employed (or willing to be) and responsible for his/her tax affairs
Can use own laptop for work

*Desirable*
Experience in media production
Flexibility to work some evenings and weekends as required by the Project
An economics, politics, business or science-related degree
Experience using Basecamp
This is a part-time position with a minimum of 16 hours per week (with the opportunity of additional hours depending on the number of projects on).
