OFFICE MANAGER - The Whisper GroupWhisper is a leading global production company, specialising in high-end sports production, unscripted entertainment, branded content and factual television. Our dream Office Manager will be the face of Whisper's Kew space and take full ownership of managing the office - delivering great experiences to our clients and team members, whilst ensuring health and safety compliance and the smooth-running of our facilities. Key Responsibilities:• Effectively manage the Whisper Kew Office, and provide office management support to other sites where required• Pro-actively implement process improvements for office operations• Be a pioneer of Whisper culture - create a happy and positive environment for our team members to work in• Help manage the organisation of office events• Manage office and maintenance costs and budgets• Work with the COO, Business Manager and FD to support new procurement tenders and renewals of existing SLAs relating to office management• Work alongside our IT Manager to implement effective processes that will ensure all tech issues are raised and resolved smoothly within the office• Manage the relationship with external companies (e.g. maintenance, managing agents & cleaning) - keeping track of planned preventive and reactive maintenance schedules, and cleaning agreements and schedules• Develop, implement and manage energy conservation programmes for offices in line with our sustainability initiatives and ensure cost efficiencies• Review company policies relating to facilities, including health and safety policies and ensure that Whisper is compliant with all corporate and legal obligations• Keep all facilities and health and safety paperwork logged and up to date• Manage health & safety in relation to the building, employees and vendors, and complete necessary risk assessments• Be willing to get stuck in with any tasks that come your way - e.g. unpacking the dishwasher and keeping the office clean and tidy.This will be a busy role so we are looking for someone who likes to be on their feet, with the motivation to getting things done quickly! Skills and Experience:• Experience of working within a customer service environment• Track record of implementing building management/engineering systems and processes• Skills in budget management • Previous experience in managing PPM schedules and ensuring health and safety compliance• The ability to understand the operational needs of the company and the skillset to provide forward planning to support the smooth running of UK Whisper facilities• The capacity to prioritise tasks, work under pressure, and make decisions quickly• Project management experience• Great communication and relationship-building skills, with a high level of emotional intelligence• Strong IT skills, including proficiency in Microsoft Word & Excel• Positive, pro-active and forward thinking attitude• Ability to work on your own initiative, with minimal supervision• Desire to lead and take ownership in role• Flexibility and adaptability to changing workloads• High level of organisation and time managementWorking Days: Monday to Friday, 9am - 6pm.Location: The position will be based full time at our Kew office, in South West London.Start date: Contract to start as soon as possible, but we can be flexible. Permanent position. Closing date: Friday 28th April 2023
