Office Administrator/Receptionist

Role purpose:
The post holder will provide vital support to ensure the smooth operation of the business, providing cover at the reception and taking on other administrative duties, as advised by the line manager and needs of the company.

Key responsibilities:
• Greet and welcome guests as soon as they arrive at the office.
• Direct visitors to the appropriate person/meeting room & prepare refreshments where necessary.
• Provide a high level of telephone cover for all incoming calls.
Direct contact for business enquiries - answer, screen and forward incoming phone calls
• Manage relevant general mailbox queries
• Provide basic and accurate information in-person and via phone/email
• Ensure reception area/office in general is tidy and presentable, with all necessary stationery and materials.
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, staff fobs etc).
• Receive, sort and distribute daily mail/deliveries. Daily post collection and drop off.
• Maintain the meeting room booking system and advise, support staff as appropriate.
• Manage the meeting rooms set up and keep the premises neat and tidy.
• Support staff with preparation to meetings including refreshments and IT set up.
• Lead on new staff set up and leaver administration
• Assist in organisation/running of all staff meetings/events etc.
• Order front office supplies and keep inventory of stock.
• Ensure that the kitchen supplies are tidied up an restocked on a daily basis.
• Manage the task list for the cleaning and office contractors and act as appropriate to ensure the overall maintenance of the office set up.
• Manage the relationships with office service providers, actively assist in resolution of office related issues
• Assist in the management of the company inventory (incl. maintenance of the fixed assets register).
• Support Health and Safety activities for the office.
• Provide ad-hoc support for other administrative/operational projects as advised by line manager.
• Provide wider administrative support to wider teams, when appropriate.
• Any other relevant office support duties as advised by the Office Team.

Essential skills and experience and/or qualifications:
Educational experience:
• A-Level, AS Level, Level 3 diploma, Level 3 NVQ

Work related experience:
• 1 - 2 Years - Entry Level

Essential:
• Previous administration experience.
• Excellent verbal and written communication skills.
• Excellent organisational skills.
• Experience of following processes that require significant attention to detail ensuring accuracy at all times.
• Good working knowledge of MS Office Packages.
• IT Savvy
• Proven experience of working in a small team with a busy workload.
• Positive and 'can-do' attitude.

Preferred:
• Experience or knowledge of the creative industries.
