Position
Our Benwell House headquarters are the embodiment of everything that Jamie and our brand stands for. The Facilities & Events Coordinator plays a key role in the Facilities and Kitchen team ensuring the smooth running of this dynamic and collaborative work space.
Interacting with everyone the job holder is the "go to" person for all day to day Facilities, Kitchen and work space issues. As the face of the department they respond to any internal enquiries and supervise the work in and around the office. There may also be occasions when the job holder will need to work longer/flexible hours to support events and/or manage maintenance work.
Reporting into a Facilities Manager, the Facilities Coordinator supervises the workloads of the Facilities Assistants and Facilities Intern.

Facilities
Coordinate the department's day-to-day tasks ensuring the office runs smoothly & providing a productive and creative environment for staff and visitors.
Manage the Facilities helpdesk system, ensuring queries, incidents and issues are dealt with promptly.
Implement company policies and daily procedures, as instructed by the Facilities Manager or Senior Management Team, ensuring that all staff adhere to them in the building.
Act as a point of contact for the Facilities Assistants, monitoring workloads and ensuring they are responding to the changing needs of the organisation.
Act as the link between the FM and the Health and Safety advisors providing support, maintaining records, carrying out checks, reporting issues and ensuring employees adhere to procedures set by senior management, reporting all concerns to the Facilities Manager
Coordination of hard services and soft services ensuring preventative and reactive maintenance is carried out to support the organisation's needs.
Carry out research and provide admin support during the procurement of new supplier contracts for both hard and soft services - ensuring the best price and service are delivered.
Monitor and track department spending, with a firm focus on where savings can be made, reconciling invoices and flagging when budgets have been exceeded or spikes in spending have occurred.
Carry out new starter and leaver inductions.
Arrange any office moves, working with the Facilities Manager on any desk and seat allocation.
Under the direction of the Facilities Manager organise the maintenance and in house upkeep of the company vehicle fleet, ensuring vans are in the best condition and that usage is monitored in line with legislation.
Coordinate and supervise any small projects and building work at Benwell House, ensuring staff disruption is minimal.
Support the Facilities Manager with the Facilities internship program securing candidates via our partners, mapping out syllabus recording progress and booking mentorship meetings.

Benwell Kitchen
Coordinate the internal catering process creating budgets, supporting chefs with logistics planning, seeking dietary information and resolving any on the day issues ensuring seamless breakfast/lunch/dinner services.
Assisting the Facilities Manager in ensuring kitchen and catering events are sufficiently staffed each week, requesting support from the JII Development Chefs, the Food Stylist Team or Cookery School chefs to get additional kitchen and catering support on ad hoc basis (on occasions where Benwell House Chefs need additional support to provide staff lunch or catering)
Coordinate the Food Safety Management procedures and systems, working with the house chefs to ensure the business is compliant and maintaining a five star hygiene rating
Coordinate the creation of the weekly staff lunch menus with the House Chefs taking into consideration the direction from key stakeholders, the Food Hub Board, and relevant departments to ensure lunches are varied, in line with food standards and aligned to the conversations externally on our social platforms
Manage the upkeep of the kitchen suppliers list working with the Food Tech dept to ensuring our Food standards and Food safety management requirements are always maintained.
Coordinate food ordering between House chefs and Reception for Reception to place and manage regular orders.
Be a point of contact for questions and feedback for staff lunches

Events
Create and manage the business' social calendar for internal and external events with a focus on Food, Creativity, Diversity and Wellbeing to help foster a happier healthier workforce.
Act as main coordinator and project manage all events within Benwell House (such as company client/partner gatherings, social staff events and any ad hoc external events Jamie and the business hold) sitting in the planning meetings, implementing internal and external works and rotas whilst collaborating with the relevant teams and feeding into the Facilities Manager with questions and issues as they arise.
Create and track budgets for internal and external events, organising or reconciling invoices when required, ensuring prompt payments are made/received.
Assisting the Facilities Manager in organising and coordinating any internal and external resources needed for events held at Benwell House ensuring disruption to the working office is minimised

Requirements
WHAT YOU NEED TO KNOW
Previous experience and an interest in Facilities Management

HOW YOU'LL DO IT
Confident, customer-focused with a friendly approach and can-do attitude - the jobholder is the face of the Facilities team and the go-to-person for staff social events and client events, and will drive the team to consistently deliver a model service
Prioritise tasks appropriately and escalate as required
Communication with the organisation, giving updates in a timely manner
Ability to take initiative and problem solve
Proven organisational qualities and a strong coordinator
Competent leadership qualities and communication skills
Keen eye for detail
