Executive Assistant

London

As Executive Assistant to the directors you will provide high level professional, secretarial and administrative support working closely with the directors and managing a varied and busy diary. You will act as a first point of contact for the director, handling complex and confidential situations and requests. You must be a skilled communicator with experience of dealing with people from a diverse range of backgrounds and roles. This is a key role for Unigram and involves handling sensitive information, working in a dynamic, fast-moving environment, assessing priorities and taking the appropriate action to ensure the smooth running of the office and diary.

KEY RESPONSIBILITIES:
- Coordinating diary, travel, accommodation, restaurant, entertainment and production bookings for individuals in the company as well as outside clients including hired writers, directors, artists and producers.
- Organising dial-ins, conference calls and zoom meetings (or similar).
- Organising in-person meetings and acting as the principal point of contact for all visitors and guests
- Sourcing and arranging gifts for production partners and other talent.
- Managing expenses and accounts for Directors and other nominated individuals
- Handling various research and development queries, script reading, book reading and analysis.
- Providing general office support from time to time.
- Providing other/ad hoc support to Development Team activities and when requested
- Any other similar duties as requested.

KEY REQUIREMENTS:

- High attention to detail and significant practical experience of working in the theatre, film and/or music industry.
- Strong interpersonal skills with the ability to communicate effectively at all levels.
- Excellent organisation, diary management and planning skills.
- Significant tact and integrity to manage the sensitive nature of information
- Strong computer skills, with demonstrable experience of Microsoft and Apple software and devices (eg, Word, Excel and PowerPoint).
- Ability to work calmly and effectively handle multiple requests, prioritising to ensure business objectives are achieved.
- Ability to develop strong working relationships with colleagues and partners at all levels.
- Ability to use one's own initiative, be proactive and otherwise deal with queries promptly as they arise.
- A passion for film, theatre and/or music.
- Previous experience of operating as a PA at a management level.
