Executive Assistant

The Executive Assistant's primary role is to be 'right hand person' to the Chief Operating and Financial Officer and Global Director of Supply Chain. The individual has to be able to understand the importance of prioritising meetings, able to manage workload and administer effective meeting cadence across the senior leadership team and external stakeholders.
The Executive Assistant will be required to support both leaders with minute taking at the relevant internal meetings. The role requires a firm understanding of the dynamics of the business and its individual departments, its priorities, people and strategies. The ideal candidate will have excellent organisational and people skills, a determination to make things happen and the initiative to thrive in a fast-paced environment.
As an Executive Assistant you will
Accountable for diary and inbox management, ensuring that the two leaders' time is managed effectively by understanding daily and weekly priorities and making judgement calls on prioritisation of their appointments to maximise the reach and impact; taking a strategic approach to the use of available meeting hours, managing multiple time zones and recommending efficiencies in meeting regularity and attendance
Prioritise and plan diaries/mailboxes, taking a forward thinking approach to ensure all pre-read and meeting agenda is received in appropriate time, minutes are circulated, actions are followed-up and incoming requests are prioritised
Ensure the production of timely briefings, presentations and notes to the leadership team from meetings (as appropriate)
Manage the travel and expenses budget, including planning all international trips with regional teams and annual global team gatherings
Managing Team budgets, including raising the necessary POs and liaising with the Global Finance Team to ensure the timely processing of invoices
Undertake any other duties or projects within the nature and grade of this position as required, including occasional out of hours working
Assisting with external commitments
Help to facilitate the feedback from employee engagement surveys in parallel with the people team and ensure it is prioritised as part of the leaders agenda on a bi-annual basis
Facilitating team initiatives such as monthly team meetings, social events, team offsite days and team recognition awards
Being a key point of contact for Finance and Supply Chain teams if they have any queries

Excellent people skills and the proven acumen to handle both delicate and complex situations whilst juggling multiple responsibilities
Excellent written and oral communication skills
Demonstrated ability to work in a fast paced environment and proven ability to manage senior stakeholders
Demonstrated experience of dealing with highly confidential information
