The Role

To provide comprehensive EA and administrative support to the Managing Director and lighter support to the Deputy Managing Director. The role will involve working with various individuals and departments within the FT, including the executive board and senior management, Nikkei and external parties.
Assist the MD with all administration support requirements including management of calendar, phone, email and expenses - ensuring all queries, requests and correspondence are dealt with promptly and appropriately.
Responsible for scheduling and maintaining the MD's calendar including prioritising and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organised schedule.
Organise all aspects of global travel for business trips including flight tickets, hotel bookings, airport transfers, visa applications, arranging meetings and conference registration.
Coordinate and facilitate various meetings for the MD, including bi-weekly Leadership meetings, project meetings and regular catch-ups with direct reports and stakeholders.
Organise business lunches, team events and away days.
Organise regular inclusive team socials.
Assist with projects as required.
Creating event/speaker packs for speaker engagements.
Work closely and build good relationships with leadership at the FT and their assistants.
Managing multiple email groups and Slack channels.
Processing invoices swiftly and accurately.
Minute taking in executive meetings.
Effectively provide professional administrative support as necessary.
Providing admin support to the wider team, including FTS leadership.
About You
Proven track record in an Executive Assistant role within a dynamic environment.
Proficient in Google Suite and Microsoft Office (Word, PowerPoint, Excel), managing IT
issues effectively.
Strong organisational skills including the ability to manage calendars effectively
demanding schedules and meet deadlines. Responsive and sensitive to time-critical requests.
Experience in organising meetings, managing travel arrangements, and providing general
office operations support with high attention to detail.
Strong emotional intelligence and inspires confidence and trust.
Solid communication skills, with a warm and professional written communication style.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Stays calm under pressure and can handle challenging and sensitive matters effectively. Adapts easily and is flexible to change.
Very strong interpersonal skills and the ability to build and maintain a professional, friendly and cordial relationship with stakeholders including staff, board members, senior management and external parties
Trustworthy and consistently exercises good judgement and discretion with sensitive matters. Takes initiative and anticipates potential issues, putting potential contingency plans in place where appropriate.
Highly resourceful team player with the ability to also be extremely effective independently can build and tap into a strong network of internal and external contacts.
Extremely team-focused, and enjoys providing support to wider team members
