The Role / Position Overview

FT Forums is seeking an Events Manager to deliver an annual programme of virtual and in-person, events, workshops and networking sessions. The FT Forum team itself is responsible for running a series of members-only communities. The Events Manager will join a small team based across both the UK and Manila and report to the Senior Content and Events Manager in the Forums team. The role is an essential contributor to the team as the one responsible for producing and delivering all events.



Key Responsibilities

Digital Events

Create and manage events on the digital events platforms (such as Bizzabo and Streamyard)

Oversee event invitation email creation and automated emails

Liaise with the FT Brand and Design team concerning console and event asset design

Liaise with the event platform support team if necessary

Liaise with speakers ahead of each event

Organise and run pre-event calls with speakers and moderators

Schedule and lead moderator digital platform training if necessary

Book additional services (e.g. live scribe) and upload additional assets (e.g. Premium Member Thought Leadership)

Create basic event slides (speaker names etc.)

Lead technical event manager on the day


Face-to-face events

Researching, securing and liaising with potential venues and event suppliers

Coordinating, creating and proofing all branded and event collateral in collaboration with the Senior Content and Events Manager, FT Forums Operations Director, Brand & Design team and external printing suppliers

Procuring, collating and sending all event materials to and from the venue

Sourcing volunteers for additional event support

Arranging pre-event briefings to ensure that the events run smoothly

Lead on-site event direction including liaising with suppliers, venue setup, volunteer briefing, attendee registration, microphone operation and breakdown

Overseeing the return, storage and responsible disposal of event materials

Ownership of material and stationery stock levels and re-ordering supplies as appropriate


Additional Duties

Work closely with the Senior Content and Events Manager to ensure event topics are at the forefront of all event activities

Maintaining excellent relationships with venues and suppliers

Processing supplier invoices

Maintaining stock of marketing materials in liaison with the FT Forums Marketing Manager

Arranging travel, accommodation and courier services for the FT Forums team and event speakers

Other related duties to be assigned on an ad hoc basis

Upholding the exceptional service standards set by FT Forums



Essential Skills / Experience

Previous experience using virtual event platforms (e.g. Streamyard, Bizzabo, ON24)
Confident presentation, verbal and written communication skills

Exceptional organisational, prioritisation and multitasking ability

Experience of supporting multiple events or projects at one time

Superior attention to detail, with the desire and ability to deliver high-quality work to strict deadlines

High proficiency in all MS Office packages, including Word, Powerpoint and Excel

Flexible approach (working hours can vary)

Problem-solving skills and diplomacy

Versatile and proactive, with a can-do attitude and the ability to work in a small team

Comfortable working in a fast-paced environment

Passionate, with the determination to succeed and progress


Desirable Skills / Experience

Graduate at Degree level

Previous experience in an events delivery role

Previous experience or awareness of the news and media industry
