Events Coordinator

The award winning Global Events team are seeking an Events Coordinator to join our busy team, to provide event coordination and administrative support across simultaneous event projects working to various event producers within the team. To be responsible for small scale events with value up to £20k and assist on site at all level of events as required. You will support us to produce first class events for BBC Studios brands and departments. A fantastic opportunity to work within a fast paced team at BBC Studios.

Key Responsibilities and Accountabilities


Coordinate event logistics and provides administrative support to team, including tracking budgets, liaising with venues and suppliers, updating event critical time paths and compiling and maintaining good housekeeping of all event related documents.
Supporting on delegate management processes to include comms planning, invitations, guestlist management, registration coordination, managing inbox etc
Monitor activity of mail out systems, tracking and collating event responses, responding to email queries to ensure event registration is kept up to date.
Database management, pulling reports and providing data/reports as required.
Provide event coordination of all event activity including travel, accommodation, catering, furniture, staffing plans, logistics, shipping, deliveries etc. Assist on site at events, providing liaison with the venue and third-party suppliers for the smooth running and to ensure good clear up/de-rig and evaluation.
Plan schedules, event rotas, prepare briefing notes for crew and staff and communicate logistics to guests to ensure all personnel are fully prepared for event activity.
Support the collation of all event documentation (call sheets, contact lists, maps etc) to ensure that the event has the necessary paperwork on file.
Collaborate with teams to build and maintain virtual event platforms and intranet pages, setting up virtual events, collating speaker briefings, sharing recordings and ad hoc virtual event delegate management.
Travel Management, liaison with travel suppliers to assist in the allocation of hotels. May involve associated travel activity, assisting with visa documentation & documents for travel and accommodation for large scale events.
Research venues and maintains databases of event suppliers to ensure team are provided with up to date information.
Co-ordinate and manage small scale events up to the value of £20K and the associated health & safety risk at small scale events, supported by Event Producers/Managers.
Contribute to event team projects which may require research skills, creative thinking, and creative solutions and provide new innovative ideas or materials which may be of use to the wider team.

The role will be supporting several different individuals at any one time on different events with different timelines and deadlines to meet. You will need the ability to effectively prioritise and ensure event administration is completed promptly with excellent attention to detail. As this is a role that spans a dynamic and fast paced team, it is important that you can demonstrate resilience and flexibility in your approach to work.

Previous administrative experience in diary management, travel/hotel booking, and general admin support with be useful in this role.
Excellent communication and strong interpersonal skills with the ability to deal with a wide range of people internally and externally in a friendly, tactful, and considerate manner.
Meticulous approach to planning with excellent attention to detail and accuracy.
Competent and confident in MS Office Suite, some previous experience of database management tools/registration systems.
Proactive, solution driven with excellent planning/organisational skills.
Competent & confident in all main computer packages, previous experience of online database management tools/registration systems
