Fictionhouse is a new high-end television drama, film and theatre production company. We are looking for a dynamic, self-starting Administrator to join our small team and provide the central administrative function for the company, working in support of all projects and to provide administrative assistance to the CEOs.
This role would suit someone who wants to develop their career in the arts and media sector, who has some experience in the industry and is interested in both the day to day management of a production company and working across multiple projects at various stages of development and production. This is not a development or production role.

Responsibilities will include:

• Providing the central administrative and financial functions involved in the smooth running of Fictionhouse
• Liaising with high end drama productions and with theatrical general managers
• Creation and management of centralised schedules for all projects, liaising with production companies, setting and maintaining company budgets,
• Managing financial recording, processing and payments, working alongside Saffery Champness in maintaining company accounts, records and VAT returns; providing monthly accounts, raising, processing and logging invoices, setting up SPVs and assisting the executives with recording and processing expenses
• Ensuring the correct insurance is in place and keeping up to date with health and safety legislation
• Ensuring a smooth flow of communication, including oversight of our website, social media feeds, monitoring and responding to general enquiries, management of events including press nights and guest events
• Providing administrative support services as required, including arranging company meetings plus some personal assistant duties for the joint CEOs, including travel arrangements
• Undertake research as required
• Supporting Kate Horton in her day-to-day work, including working with agents, production investors, production companies and general managers
• Ensuring corporate and statutory information is accurate and kept up to date, including at Companies House
• Preparing, where necessary printing and distributing scripts
• Organising and overseeing any apprentices or work experience placements
• Keeping a central, shared filing system; troubleshooting IT problems and looking after IT and office purchases
• Undertaking general administrative tasks to keep the office running smoothly
• To act always in the best interest of Fictionhouse
• Any other duties as reasonably required

Person Specification:
Essential:
• Proven administrative experience in television, film or theatre
• An understanding of budgets and basic finance, including monthly accounts
• A willingness to have responsibility for important aspects of the company's operation
• A positive, professional attitude, strong organisational skills and excellent attention to detail
• An ability to work calmly and productively under pressure and experience of managing a busy workload
• A self-starter, able to work with minimal supervision
• A passion for and knowledge of television drama, film and theatre and a good understanding of the process of at least one of those genres
• Excellent communication skills (written and verbal) and interpersonal skills, working with people at all levels of seniority and experience
• Current knowledge of and keen interest in the television, film and/or theatre sector
• An understanding of equal opportunity and cultural diversity issue in the delivery of our work

Desirable:
• Familiarity with Final Draft, Adobe, Excel etc
• A minimum of four years of applying these skills in television production or arts administration
• On-set or production experience

40 hours per week, although additional hours may be necessary.
