Novel are looking for a Production Coordinator with experience in the audio industry to join a growing team. You will work closely with the Production Managers, supporting across our productions, as well as supporting the broader operations team with general administrative duties.You will support the Production Manager and Producers from the start of a production to delivery, ensuring the deliverables of each production are completed in good time, submitted to the client, saved and backed up. The Production Coordinator will also assist with a variety of tasks to ensure the smooth running of productions including travel booking, equipment management and dutiful filing and organisation of project documents.The role will also support the Office Manager in maintaining smooth and efficient daily operations within the office environment. Your responsibilities will encompass a variety of administrative tasks, supporting different departments and ensuring a well-organised workspace. This position requires a proactive and detail-oriented individual with strong organisational and communication skills. In order to provide support across departments this role requires office attendance at least 3 days a week, with some occasional flexibility to ensure tasks can be met.ABOUT YOUYou have exceptional organisational skills, great creative problem-solving abilities and a passion for the intricacies of production. Most importantly you will have experience in the audio or production landscape and have a passion for audio/podcasts.KEY RESPONSIBILITIESFile organisation and schedules * Support the Production Manager in keeping production schedules up to date flagging any changes * Coordinate meeting room bookings, both on and off site * Keep project organised by creating, maintaining and back up of project folders, archiving and maintenance * Be responsible for the delivery of audio project files to clients at the end of projectAdmin * Diary management - arranging regular team meetings to keep on top of production updates * Assist with arranging travel plans, accommodations, and itineraries as needed * Assist in organising events, meetings or company functions * Maintain and manage production subscriptions and logins, ensuring access is up to date for a busy production team * Managing access to key production tools/software e.g. Descript and working with the office manager and IT as required * Booking recording studios and facilities * Supporting in management of production crew * Ensuring all production paperwork is complete and filed promptly on project end * Maintain recording equipment and keep an updated log of staff who loan kit ensuring it is all filed correctly. * Greet and assist visitors, clients, and employees * Help to maintain and promote a clean and organised office and shared communal areas * Work with the Office Manager to support in monitoring and replenish office supplies as required including catering for meetings * Assist with setting up equipment for meetingsBudgets/finance * Receive and file invoices, working with accounts to manage supplier/freelancer payments * Distribute purchase orders * Managing and tracking costs/expenses on assigned projectsABOUT YOUYou have exceptional organisational skills, great creative problem-solving abilities and a passion for the intricacies of production. Most importantly you will have experience in the audio or production landscape and have a passion for audio/podcasts.ADDITIONAL SKILLS & PERSON SPECIFICATION * 1-2 years experience in the audio/TV/Film industry, ideally in a production operations role * Excellent numeracy skills * Understanding of audio/recording kit and equipment * Experienced and highly competent in Excel/Google Sheets * Experience with scheduling - both productions and across internal teams * Strong written and verbal communication skills * Confident at communication with stakeholders at all levels * Highly organised, great time management and able to juggle multiple priorities * Have meticulous attention for detail * Be able to maintain multiple schedules at a time * Forward thinker, able to plan ahead and spot upcoming challenges * Experience in using Asana and Quickbooks would be a bonus
