Job Title: Finance and Administration Manager Location: EC1 Salary: £25,000 to £30,000 pro rata dependent upon experience Contract: Permanent part time - 25 hours spread over 5 days The Role Overview: To take responsibility for the efficient operation of the business by carrying out all accounting administration, implementation of new accounting and project management system, updating of company information, managing HR procedures, internal communications and general management of the office. Key Responsibilities and Accountabilities: Maintain office services by organising office operations and proceduresMaintaining all financial data and any other data entry as required and to include but not limited to:Managing sales and purchase ledger, expense management, VAT and PAYE recordsTo carry out credit control in the first instance and escalating as appropriatePosting of staff expenses and weekly payment runLiaise with Partners to obtain credit card statements with description and receiptsPost credit card statements and reconcile control accountPost bank statements and reconcile bank account on a weekly basisOperation and weekly posting and reconciliation of petty cashPayrollTo take responsibility for the project management system to include the following:ensuring all records on the time recording system are up to dateTo produce reports from the system as requiredTo update the website and brochure as instructed by the directorsResponsible for managing the IT support contract including distribution of software as necessary, land line and mobile phone systems and dealing with queries as they arise.To take responsibility for all HR procedures including:Recording starters and leavers informationMaintaining staff records and contracts,Maintaining holiday and training recordsManaging with the recruitment processMaintain Health and Safety records and issues relating to legal compliance such as insurance.Office housekeeping, including ensuring sufficient provisions for the day to day operations.Meeting, greeting and dealing with visitors and organising any catering provisions as necessaryContribute to team effort by accomplishing related results as neededAny other duties as reasonably requested by the Directors Key Performance Indicators:Meets deadlinesAct as a role model and represent themselves professionallyInitiate and promote process improvementsManages own time efficiently and effectively Person Profile:Be professional, have a mature personality and be able to gain people's confidence and put them at easeAbility to work independentlyExcellent verbal and written skillsHave good organisational and administrative skills, be flexible, adaptable and be able to cope under pressureAttention to detailAbility to perform task in a diligent and responsible mannerKnowledge of MS Office and experience of data entry accounting systems essential, experience with project management systems an advantageEnthusiastic and with a sense of humour ExperienceCandidates must have a minimum of 1-2 years experience as an office or finance manager with experience assisting in a finance function and managing IT. The person will have ideally worked in a small growing office. It is essential that candidates are competent using Microsoft excel and experience of using accounting systems and project management systems - experience of Xero is an advantage. Any professional accounting qualifications will be an advantage.
