Finance and Administration Manager

Job Title: Finance and Administration Manager

Location: EC1

Salary: £25,000 to £30,000 pro rata dependent upon experience

Contract: Permanent part time - 25 hours spread over 5 days

The Role Overview:

To take responsibility for the efficient operation of the business by carrying out all accounting administration, implementation of new accounting and project management system, updating of company information, managing HR procedures, internal communications and general management of the office.

Key Responsibilities and Accountabilities:
Maintain office services by organising office operations and procedures
Maintaining all financial data and any other data entry as required and to include but not limited to:Managing sales and purchase ledger, expense management, VAT and PAYE records
To carry out credit control in the first instance and escalating as appropriate
Posting of staff expenses and weekly payment run
Liaise with Partners to obtain credit card statements with description and receipts
Post credit card statements and reconcile control account
Post bank statements and reconcile bank account on a weekly basis
Operation and weekly posting and reconciliation of petty cash
Payroll

To take responsibility for the project management system to include the following:ensuring all records on the time recording system are up to date
To produce reports from the system as required

To update the website and brochure as instructed by the directors
Responsible for managing the IT support contract including distribution of software as necessary, land line and mobile phone systems and dealing with queries as they arise.
To take responsibility for all HR procedures including:Recording starters and leavers information
Maintaining staff records and contracts,
Maintaining holiday and training records
Managing with the recruitment process

Maintain Health and Safety records and issues relating to legal compliance such as insurance.
Office housekeeping, including ensuring sufficient provisions for the day to day operations.
Meeting, greeting and dealing with visitors and organising any catering provisions as necessary
Contribute to team effort by accomplishing related results as needed
Any other duties as reasonably requested by the Directors

Have good organisational and administrative skills, be flexible, adaptable and be able to cope under pressure
Attention to detail
Ability to perform task in a diligent and responsible manner
Knowledge of MS Office and experience of data entry accounting systems essential, experience with project management systems an advantage
Enthusiastic and with a sense of humour

ExperienceCandidates must have a minimum of 1-2 years experience as an office or finance manager with experience assisting in a finance function and managing IT. The person will have ideally worked in a small growing office. It is essential that candidates are competent using Microsoft excel and experience of using accounting systems and project management systems - experience of Xero is an advantage. Any professional accounting qualifications will be an advantage.
