TV Admin Assistant

London

This is a newly created position to support the TV Administrator team in the planning, trafficking and use of resource in the business, shaping the optimal resource delivery model to best meet our international clients' needs in the delivery of TV, online, print and digital content.

Responsibilities
Develop and maintain close working relationships with production, account management and finance teams.
Obtain all the necessary media schedule and clearance information for relevant market(s): (e.g. clock number, TVC titles, client production name, on-screen telephone, on-screen website address, VO artist, Visual Artist, music composer, music publisher and so on).
Fulfil all the necessary clearance obligations and stages including but not limited to:
Approved script, rough Cut (to help the process/ highlight any problems), substantiation documents, clocked Master (for final approval clear cast Mpeg).
Provide script copy when masters are supplied with no script.
Research TV clearance / regulation within international local markets.
Obtain usage details from the Account Team (Visual Talent/ Music/ VO Talent) ensuring they cover the period of intended use, updating fact sheets and supporting documentation.
VO Usage: work with the Producer team to obtain international voiceover studio fees & media usage buyouts required. Negotiating fees where possible and arranging artist's contracts.
Managing and arranging additional visual & music licensing to ensure all creatives are covered for playout.
Assist and manage delivery across all mediums.
Monitor approaching delivery deadlines and advise production teams accordingly.
Using existing systems and processes to achieve this, and looking for ways to improve and streamline where possible.
Coordinate delivery with Account Management, Production and Edit Assistant.
Supply rotations and consignment notes for all TV, VOD & Radio playout
Responsible for usage management, clearances and deliveries.
Working with the Production team on Talent, VO & Music contracts
Working on Child Licenses for Production with Councils
Working on location permits with local councils
Location Agreements.
Release forms.
Working on Factsheets for Production shoots.
Good knowledge of Post facilities.
Supporting the Production Department on Pre-Prod & Production, Post and Clear up to ensure all admin is up to date.
Scheduling post-production and QC requirments against projects on incoming projects and place bookings on internal systems.
Support the Traffic Manager and department heads in load balancing the project managers workloads based on current and future scopes.
Reconciling the closing of projects and marking statuses as completeon the bookings system, allowing for amends, or bespoke requests as and when notified.
Support the Traffic Manager in identifying and sourcing appropriate resource and location requirements for post-production at the earliest possible stage.
Quality control of post-production bookings across multiple offices, ensuring process is adhered to.
Aid the Traffic Manger in liaising with Producer teams to outline the requirements and scale of upcoming campaigns.
Keep up to date with the latest resource and reporting technologies.

Qualifications
Sector Experience & Understanding:
We seek a candidate with:
An excellent understanding of post-production workflows and timings.
Excellent and proven planning and forecasting skills, from design, delivery, tracking and completion.
An ability manage multiple projects and stakeholders.
Strong numeracy and literacy skills with specific ability to use Excel.
Knowledge of UK and International clearance bodies and processes
Knowledge and experience of UK and International distribution processes and suppliers
As the team expands and that we get more and more involved in production, this eventually will be.

Professional Experience:
1-2 years' experience in traffic co-ordinating within broadcast or advertising industry.
Good industry references.
