Trainee Assistant Producer

Peterborough

Job Title: Assistant Producer (Trainee and Focus Grades 1-3)

Job Purpose: Assisting the Producer with all daily duties and forward planning.

Key Responsibilities & Accountabilities:

(Trainee & Grades 1-3)

• Work alongside the Production teams to forward plan & prepare shows with primary focus on live output.
• Completes all prep for shows in Producer's absence e.g. holidays.
• Collect and research product information for Producer and Presenter to enable them to demonstrate maximum versatility and potential of product.
• Research and identify the USPs of each product and which are the key features to make these sell.
• Check stock levels and for all products and options and ensure all relevant departments are informed.
• Building and maintaining close relationships with all production departments and the buying team to ensure the vision for the show is communicated to all teams.
• Meet and greet guests and ensure all necessary paperwork is completed.
• Complete all prep in absence of Producer.
• Select and edit video clips from previous shows to recap on viewer testimonials and to recap results each product can achieve.
• Compile and complete cue sheets, ensuring clips are relevant and updated, and that these are available in advance of the show for these to be checked and approved.
• Check the studio set and design is accurate to floor plan and workable for Presenter and Studio Director.
• Calculate and collate statistics and other mathematical sales tools for the Producer including relaying accurate stock updates.
• Print out latest version of POLs and i-cards and distribute to relevant parties
• Deliver and communicate information from the Producer to all other departments
• Organise and prepare t-calls for live shows.
• Act as the 2nd pair of eyes and ears to the Producer during each programme whether live or pre-recorded.
• Print weekly POLs and schedules for the Trading Meeting
• Able to remain reactive and turn around prep for last minute schedule changes without compromising on show content.
• React to and assist in solving issues as they arise.
• Awareness and understanding of ASA compliance issues and boundaries, investigating alternative to allow the selling message to be fulfilled in 'safe' manner.
• Attendance of Forward Planning Meetings.
• Must be able to work under own initiative
• Step into the Producers place if they fall ill or require assistance in the gallery.
• Juggle multiple tasks and prioritise over ambitious daily workload.
• During out of office hours makes relevant changes to POLs/shows liaising with Merchandising and CPMs
• This position will require working a 7/14 shift pattern; however these hours must be flexible to take into account production requirements.

Trainee:

During the 6 month probationary period the Trainee will:
• Develop relationships with the Buying, Presenting, Creative Developers and Production Teams, guest and suppliers.
• Read and understand ASA compliance, asks questions where necessary
• Understand the processes required to achieve all daily tasks
• Complete Trainee work book.
• Review past shows to understand requirements.
• Works with guidance from Producer and more senior Assistant producers.
• By the end of the 3 month period the trainee will undertake most tasks with the minimum of assistance.

Grade 3:

• Takes on all tasks asking for assistance if required.
• Understands ASA compliance issues.
• Builds on working relationships with other departments.
• Ensures that shows are forward planned, this includes awareness of upcoming shows and requirements for these ie. VT, cue sheets and additional graphics.
• Add products to POL in out of office hours when required.
• Updates product availability to IVR when required.

Grade 2:

• Uses initiative to take on extra tasks.
• Works with the team to ensure that all workloads are covered offering assistance when required.
• Provides ideas and suggestions to the Producer for aiding sales and adding innovation to shows.
• Looks at new ways of improving the efficiency of the team.
• Updates rotas in the absence of Senior AP/Supervising Producer.
• Forward planning of shows beyond scheduled hours - refreshes VTs and creates montages for others to use.
• Assists with out of hours schedule changes (does not include stock adjustments).
• Researches products for additional shows.

Grade 1 - Senior:

• Completes ASA Test
• Updates the rota/schedule on a daily basis.
• Ensures workload is balanced across team.
• Liaises with Senior Producer and Supervising Producers to discuss work progress of team.
• Undertakes regular 121s with junior team members, compiling the relevant form and feeding back to Senior Producer/Supervising Producer.
• Completes the appraisal process in conjunction with Senior Producer/Supervising Producer.
• Takes on interview processes in conjunction with the Senior Producer/Supervising Producer.
• Ensures that the team runs smoothly and takes steps to ensure that any issues are managed and
resolved.
• Works on the training and development of all junior members.
• Ensures conflict is managed.
• Produces 3 min links
• Produces half hour shows when opportunities are provided by the Supervising Producer.
