ResponsibilitiesEmployer: Canival FilmsIndistry: TV DramaJob Title: Operations Team AssistantRole type: PermanentRESPONSIBILITIESThe role will report to and support the Business Team which consists of 3 lawyersThe role requires a high energy, reliable and pro-active team member to support the Business Team by:Providing day to day administrative support, ad hoc secretarial support including diary management, preparing all necessary documentation for the same, filing hard copies and maintaining hard and soft files and systems, email monitoring, filing and mail and call managementOrganising weekly team meetings plus related paperworkMaking travel arrangements and collecting travel documentation and receipts, where requiredPreparing and processing expense reports, ensuring timely settlement of expenses and credit card activityOrganising events, including planning and coordinating of all elements necessaryHelping set up new starters in the team and working with HR, IT, Facilities and other relevant central teams to ensure smooth management of new and departing team membersOverseeing invoice and billing management with the Finance team and external third parties, tracking contractual payments for Carnival's records and reconciling the sameAssisting with deal closings, coordinating signatures, ensuring all paperwork is filed and circulated to relevant parties and internal systems updatedCo-ordinating with internal and external parties on behalf of the Team and acting as the key point of contact for internal teams (e.g. Distribution, Consumer Products, HR, Facilities, IT and Finance) as well as external parties such as agents, broadcasters, third party advisorsIssuing third party licences for the use of stills and clips from the Carnival production portfolioCo-management of the Runner scheme, including recruitment and any day to day management requirements to maintain a meaningful and collaborative schemeREQUIREMENTS:The role requires someone who: uses their initiative and learns to pre-empt the needs of the teamhas emotional intelligence, professionalism and is genuinely approachable, understanding and dynamicinspires trust in others and is a good ambassador for the team and Carnivalstrives for the best and is solutions-orientatedis able to work with a diverse team from creative and production personnel through professional advisers, marketeers, HR, PR, distribution, sales, tax and financeis autonomous and readily assumes responsibilityis self-motivated and a natural multi-taskeris highly organised, fast and efficientpresents clearly and gets to the pointis committed/dedicated to the team, the business of production and will go the extra mileis computer literate with specific strength in Excel, Word and data management systemsThe candidate must be able to demonstrate as much of the above through their CV (both in respect of professional path and extra curricular achievements) and in interview
