Studio Co-Ordinator

The Studio Co-Ordinator will assist in the day to day running of the office facilities, under the supervision and direction of the Studio Manager. This role is varied and will include reception duties and answering calls for a busy office. The successful candidate should adopt a hands-on approach and be happy to get involved with the seamless provision of facilities services where needed.
Key Areas of responsibilities:
* Covering all the reception duties (answering and directing incoming calls, manning intercom, greeting, directing and assisting visitors, updating internal telephone list).
* Responsibility for incoming and outgoing post, and info@ email
* Providing administrative support where required.
* Supporting the Studio Manager with ordering and managing supplies along with reconciliation of studio deliveries and admin spend.
* Supporting the Studio Manager with coordinating the purchase, repair and maintenance of office equipment.
* Administration of EHS documentation.
* Administration of Access control system.
* Coordinate the Work Experience Programme.
* Book appointments, travel arrangements and hotels as requested.
* Update/maintain the centralised reception procedures.
Person Specification/Requirements:
* Organised and confident communicator with an excellent telephone manner.
* The ability to work within a high pressure, high workload environments.
* Proactive and able to develop good working relationships with internal and external contacts.
* Must be able to multi-task and prioritise work.
* Must be computer literate with experience of using Microsoft Office packages.
* Experience using a help-desk and a maintenance system would be an advantage.
