Senior PA - Global Content Director

London

The Role:

The NET-A-PORTER team are now seeking a talented Senior Personal Assistant for a 12 month fixed term contract covering a Maternity Leave based in our offices in Westfield London, W12.

The Senior Personal Assistant should be a highly organised person with extensive and established contacts in the fashion industry to support the Editor-in-Chief at PORTEREdit & PORTER Magazine for NET-A-PORTER. This is a challenging role and needs someone who has fantastic people skills, ability to multi-task and prioritise workloads, is always two-steps ahead and works with the utmost professionalism and discretion at all time.

You should be well presented, confident, a fantastic communicator, and a team-player who also shows initiative. You must be able to work to deadlines and remain calm under pressure and have a keen attention to detail. A strong interest in and knowledge of luxury women's fashion and the creative industries is essential.

Please note that this is a 12 month fixed term contract due to start in early September 2018 for 12 months.

You Will:
Manage the Editor-in-Chief's (EIC) diary, the ability to effectively balance her day to day work with the wider demands of her role - which reaches across editorial, both online and print; buying; publishing; marketing & PR; brand relations- is crucial in order for her to manage her time.
Check emails & raising priority issues
Respond to phone calls, mail and emails on EIC's behalf
Maintain and manage filing systems
Arrange and coordinate, on behalf of the Editor-in-Chief, the weekly editorial meeting schedule.
Organise and coordinate, with Fashion Department leadership team regarding any meetings to take place with the Editor-In-Chief during the show season
Take minutes at meetings when required to attend, ensuring that minutes are prepared and distributed. Follow-up on actions from meetings.
Develop and maintain relationships with clients and contacts, including top international fashion PRs.
Assist in the organisation of editorial (both external and internal) events when required.
Liaise with the Facilities department to manage departmental seating plans and desk moves
In the absence of the EIC, assist any other senior members of the content team who are required to deputise.
Arrange EIC travel - flights, cars, hotels, visas, ESTAs- for the twice yearly international collections trips, as well as other business trips throughout the year & ensuring they come within budget
Ensure that the EIC is fully prepped for all meetings, liaising with other members of the team to ensure all content and figures are up to date and correct
Ensure that the EIC is fully prepped for board meetings, and when necessary preparing presentations, liaising with relevant members of staff to ensure all information is correct
Undertake personal duties on occasion
Coordinate the EIC's direct reports annual review meetings ensuring all relevant & necessary documentation required is completed
Make breakfast, lunch & dinner reservations as required
Set up meetings with global PR/communications director, photographers, agents, contributors including high profile personalities
Ensure EIC is fully prepped for the seasonal trend meetings, liaising with relevant team members
Ensure EIC is kept aware of any developing issues (particularly important when out of office on business & access to email is not so readily available)
Book meeting room and greet guests, fully taking care of their needs whilst in our office
Compile EIC monthly expenses
Occasional research
Keep track and diarise team members holidays and absences, ensuring holiday approvals are signed off in the correct manner with the Managing Editor
Occasional out of hours availability is required, particularly when EIC is travelling for business

You Have:
Strong understanding of the fashion industry or previous luxury goods experience
Experience of supporting at VP or Director level
Extensive experience in juggling very hectic Outlook diaries for more than 1 person
Proven ability to schedule international travel often at last minutes' notice
Excellent experience in all MS packages, Word Excel & PowerPoint
Very strong communication skills, both verbal & written
A calm demeanour and able to react positively during stressful times
A discreet manor and used to dealing with sensitive information
Proven ability to work efficiently and proactively
Proven ability to work to stringent deadlines with extreme pressure and change
Proven ability to take initiative
A confident character to liaise with senior people both internally and externally
An excellent eye for detail & very organised
