Purpose: Reporting into the Facilities SupervisorThis role is responsible for being the first point of contact for staff and visitors on arrival, managing the front desk activities, assisting the runner team and performing a variety of administrative tasks. Responsibilities:Hospitality• Meeting & Greeting Clients, ensuring a smooth sign in process in Envoy • Organising refreshments for clients• Assisting runner team during busy periods, as required• Liaising with Despatch regarding runs out of the building • Booking cabs for employees and clientsReception• Manage the reception environment, ensure posters are updated, the reception area tidy and stocked with tissues, magazines, flowers• Answering and forwarding phones• Screen and manage unsolicited calls to Executives• Sorting and distributing post• Issue out access control cards, guest passes, fobs and keys• Ensure all visitors are compliant with security requirements Admin• Booking Meetings in the Boardroom• Administrative support to Facilities Manager• Assisting with ordering supplies for the office & facility• Raising POs for office supplies • Run regular taxi reports for the Facilities Manager• Update internal staff DL and phone records regularly • Draw up handover for the security team each afternoon/ weekend based on info from Facilities Manager• Reconciling petty cash wallets/ card receipts from the runners• Issuing cash wallets to the runnersFacility• Minimize waste within the facility, organising the collection, recycling and removal of waste• Assist with updates of safety/security manuals/notice boards and arrangements for safety/security training• Check CCTV daily and report any faults • Assist in Facilities Manager in H&S checksBenefits- 23 days holiday- Company Pension Scheme- Life Assurance at 4x annual salary- Season ticket loan (from day 1)- Cyclescheme - The Farm's Market - discount package with BenefitHub- Eye Test & Glasses reimbursement - £50 per year- Weekly yoga classes on zoom
