Project Administrator

Sunbury

The Project Administrator is in charge of the control and of the daily management of documentation and files on every Project, within in the OPS Department for AVMI.

The role of Project Administrator is to manage, co-ordinate and provide a document management service to support to the project management, transition and service teams. A resourceful and flexible approach is required. The person is to be able to work on their own initiative, be self-motivated and proactive. The position requires a high degree of responsibility, discretion and confidentiality.

DUTIES AND RESPONSIBILITIES
* Collect, scan and upload documents following AVMI procedures and process.
* Ensure all technical & project documents, such as reports, inspections, software files, key configurable records, and marked-up drawings are collected, filed and stored on Procore.
* Control over documentation modification, distribution, issuance (as per procedure) during its whole lifecycle.
* Notify personnel of updated document versions and how to access them.
* Filing, organization and submission of documents such as an O&M (both electronic and / or hardcopies)
* Progress reporting on the document status / maintaining KPIs (Key Performance Indicators)
* Print and distribute documents as necessary or when required i.e (Engineering project packs)
* Numbering & identification of documents where required.
* Quality & compliance checks on documents.
* Become proficient and a department champion on Procore.
* Have desire to learn AutoCAD to a basic level.

About The Candidate
* Must be educated to 'A' level or Diploma in Business Administration
* Min 2 years relevant experience working on document management platforms
* Professional and pleasant personality with good written and verbal communication and interpersonal skills
* Proactive, takes initiative and well organized
* Able to work efficiently under pressure
* Attention to detail and highly resourceful
* Ability to multi-task and work independently as well as in a team.
* Proficient in MS Office applications (Excel, Words and Powerpoint)
* Considerable experience in managing quality documentation functions in an ISO certified environment.
