Hub, a marketing agency that specialises in extraordinary customer engagement, is looking for a dynamic and super organised Production/ Traffic Assistant well versed in coordinating the delivery of key client projects across many marketing channels, including video, animation, email, white papers, articles, websites and more to deliver against our clients' objectives and expectations.
Experience in a Production or Traffic Assistant role within an agency is key and most importantly, you will need the ability to manage multiple tasks working at pace, a keen eye for detail and a can do approach.

We work in a hybrid working environment with a blend of remote and office based working. There's no stipulation around how many days you will need to be in the office, but you will need to prioritise relevant meetings and team days and have a suitable home set up that allows for remote working.

Title: Traffic/ Production Assistant
Reports to: Production Manager
Works: 5 days a week
Purpose of the job
Supporting the Production Manager in the allocation of resources for all projects, contributing to their financial and operational planning and delivery, optimising profit margin and ensuring best practices are continually being followed
Main tasks
Organising the business administration, finance and staffing arrangements for production projects, helping to make sure that everything runs smoothly during filming and that the project stays within budget and on schedule
General Duties
Supporting the Production Manager to provide quotes for production projects
Carrying out research and planning activities at the start of a project timeline
Scheduling in-house and freelance staff in relation to multiple projects, making sure that use of resources is maximised for efficiency
Tracking each project carefully, coordinating schedules and administration, tracking associated costs and activities, raising purchase orders, liaising with relevant Hub (and freelance) team members, clients and suppliers
Communicating regularly with project stakeholders to find solutions for problems arising and provide exceptional service delivery
Being a Synergist super user maximising efficiency through the project management system
Providing administrative and 'office' management support
To assist with project invoicing, in conjunction with the Accounts Assistant
Supporting Bombora, Hub's sister organisation as and when required
Supporting the Production Manager as Hub's Health and Safety Officer in conjunction with the management team as well as being responsible for personal and some team aspects of health and safety
Processing petty cash transactions
General administrative support
Commitment to own professional development in line with Hub's culture
To undertake any other specific duties that might be reasonably required of the post holder, as determined by the management team

Person Specification
A good understanding of the role and its requirements with experience of working in a similar role
Experience within a fast paced agency environment
Project management and problem solving skills
A determination to get things done with a keen eye for detail
The ability to think on your feet and work effectively under pressure
Excellent organisation and administrative skills
Exceptional communication skills, both written and verbal
Confidence to work without supervision
Versatility and a willingness to learn
