Production Support Admin Assistant

For half a century, the National Film and Television School (NFTS) has developed some of Britain and the world's top creative talent. The Production Support Administrative Assistant role at the NFTS is a unique opportunity to assist the Production Support Coordinator and wider Production Management team to ensure the smooth delivery of student productions and workshops at the NFTS.

The NFTS makes more than a hundred and fifty film, television and games projects each year. The School is a full-service studio with the resources in house to produce and complete work to the very highest standards. Many of these projects play leading festivals around the world and win internationally significant prizes.

The Production Support Administrative Assistant will assist with supporting productions and workshops, with duties ranging from ordering goods and services, liaising with colleagues to reconcile floats and purchase orders and maintaining the Accident and Incident report book.

The successful candidate will have an administrative background, along with excellent organisational skills and the ability to work to tight deadlines. Applicants should be good communicators and have the ability to work as a member of a team.


Purpose of role
To assist the Production Support Coordinator, Production Accountant and Health and Safety Manager to schedule and deliver student productions and curriculum workshops through efficient and timely administrative support.

Core responsibilities include but are not limited to:

1) To assist in all duties concerned with supporting productions and workshops including
a) ordering goods and services, liaising with contractors and preparation of accounts paperwork
b) Liaising with staff and students to manage, monitor, reconcile & clear production and workshops floats
c) To liaise with curriculum staff to reconcile and clear outstanding purchase orders.
d) To process charges to the relevant departments or projects.
e) Give support as directed in the areas of costing/ budgeting and analysis of costs associated with curriculum activities
2) Under the direction of the Production Support Coordinator, organise the NFTS vehicle fleet, consisting of owned vehicles and vehicles hired from 3rd party contractors, to include:
a) booking of vehicles on scheduling system with particular detail to the needs of student productions ensuring the right vehicle is booked for the appropriate time, allowing sufficient time for fuelling, loading and unloading
b) Monitor selection of vehicle to ensure the most appropriate vehicle is requested for the purpose
c) ensuring and overseeing any recharges to production and the maintenance of the driver register
d) Monitor and arrange vehicle maintenance and repair, using in house and 3rd party resource as required to include diarising dates for MOT's and tax renewals
e) Accident management, to include insurance claims, 3rd party liaison, organising repairs and recharging damage to productions
f) To advise the Head of Production on future requirements for the number and type of vehicles required in future and developing policy
3) Under the guidance of the Health and Safety Manager
a) ensure Senior First Aider and Stores Manager have adequate supplies of First Aid stock and PPE
b) Monitor and maintain Accident and Incident Report Book
c) Monitor and maintain log of H&S Training and ensure refresher courses are taken and that appropriate numbers of First Aiders and Fire Marshalls are maintained

Essential
• Administrative work experience
• Excellent organisational skills including the ability to work to tight deadlines

• Strong IT skills, in particular excel
• Ability to work as a member of a team and to show initiative
• Good oral and written communication skills

Desirable
• Previous experience in film or TV production
• Some experience in finance
• Some experience working with corporate vehicle fleets
