Production Secretary

London

This position is a Junior level position focused on MTV Events and commission content delivery.

Working in a close team covering MTV UK/International, Event & Commissioned content;you would be required to support commissioning and deliveries which involves (but is not limited to); delivery and post production schedules, liaising with departments acceptance, technical deliverables and production workflows; managing the vendor set up, purchase orders, payments and cost managers; assist on pre-production planning, organization and related production base set up for MTV Event team; including location based running and production assistance on filmed events.

You would be required to support the MTV Production Manager in facilitating the internal and external Viacom processes that are required to be followed when producing and developing content. This position will be the conduit for internal departments and external companies on production processes and practices when working with VIMN, and to help with resolution when troubleshooting.

KEY RESPONSIBILITIES
Work alongside the Production Manager and Coordinator to assist in in-house productions [drafting call sheet, booking crew and freelancers/ researching travel, transport and accommodation requirements/ post facilities/studios/equipment]
On location help in the organisation and running of the production office.
Provide administrative assistance to the Production Co-ordinator and Production Manager. Keeping track of production paperwork such as contracts, release forms and other documents as required.
To regularly update and maintain internal trackers, checklists, budgets, databases and Commissioning Cost Manager.
Working with Accounts Payable, ensure that both internal & external suppliers are paid correctly & promptly.
To maintain a working knowledge of SAP/Market and to help queries from other departments when necessary
To ensure that all deliverable requirements are completed for commissioned production
To assist Team in all internal production set up required (Health & Safety checks, Financial checks, P/O raised, Insurance documentation etc)
To liaise and coordinate information between External and Internal teams relating to delivery and production schedules
Assisting in team management presentations, in the creation of required documentation.

Ability to use proficiently a range of software packages including Word, Excel, Outlook, PowerPoint, and the aptitude to learn new software packages where required
Ability to handle large volume of programmes and supporting documentation for various version delivery
Experience of devising and refining detailed administrative procedures
Familiarity with broadcast standard equipment and post production procedures.
Ability to prioritise a conflicting workload efficiently whilst maintaining accuracy and attention to detail when working to deadlines
Experience of maintaining office systems and following administrative procedures, and of devising new systems where appropriate
The ability to handle confidential information with tact and sensitivity
Interpersonal and communication skills sufficient to establish and maintain effective working relations with a wide range of internal and external contacts, and the ability to deal with contacts with tact and sensitivity
